Patient Care Coordinator – Ottawa

We're looking for a Patient Care Coordinator to join our Ottawa clinic – someone who's organized, warm, and thrives in a role where no two days are quite the same. You'll be the first point of contact for our patients, the bridge between clinical staff and referral partners, and a key part of what makes this clinic run smoothly.

What You’ll Do

- Welcome patients and manage front desk operations – phones, scheduling, emails, and faxes
- Maintain accurate patient files and document all interactions
- Guide patients through funding and payment options clearly and with empathy
- Prepare funding documents and stay current on funding systems
- Provide transparent pricing estimates and explain product options in plain language
- Support inventory management and day-to-day office logistics
- Coordinate information and patient care with referring Sleep Testing Facilities
- Uphold company standards, policies, and procedures at every patient touchpoint
- Identify workflow improvements and actively participate in quality initiatives
- Resolve patient concerns with professionalism and genuine care

What We’re Looking for

- High school diploma required; post-secondary in health sciences or a related field is a strong asset




- At least 1 year of sales administration experience (preferred)
- Excellent verbal and written communication skills – you can explain complex things simply
- Warm, professional, and patient-centred approach to every interaction
- Strong organizational skills with sharp attention to detail and the ability to multitask
- Comfortable working independently and as part of a collaborative team
- Proficient in Microsoft Office Suite: Word, Excel, Outlook

- Schedule: Monday-Friday, 9:00 AM-5:00 PM

- Salary: $23.00 - $26.00 per hour
