Our head office in Kingsville, ON is currently seeking a Plant Supply Administrator. This role supports the day-to-day administration of plant supply operations across the USA and Canada.

Responsibilities include maintaining plant supply records, coordinating deliveries with suppliers and growers, and populating and overseeing lifecycle of supply documents from preparation through execution and archiving. Strong organizational skills and explicit communication with internal and external stakeholders are essential.

Primary Responsibilities

Plant Supply Coordination

- Maintain plant order records, ensuring all orders are accurately entered into system.
- Prepare and issue order confirmations for all confirmed sales orders.
- Coordinate plant dispatches with suppliers and growers.
- Assist with coordinating transportation logistics between growers and suppliers.
- Document outgoing shipments, creating dispatch records and obtaining signed delivery confirmations.
- Manage the return of shipping materials and issue invoices for unreturned materials.
- Review plant invoices weekly to verify alignment with dispatched material, flagging discrepancies.




- Record and track grower claims, following up to ensure timely resolution.

Document Administration

- Populate and prepare documents using the company's contract management system.
- Manage task list, tracking deadlines to ensure on-time distribution and execution of documents.
- Monitor agreement lifecycle, including renewal dates of supply contracts and upcoming deadlines.
- Provide weekly status updates on agreements pending countersignature.
- Maintain planting data and plant stock records in plant supply locations.
- Attend meetings with suppliers and growers, preparing and distributing minutes as required.
- Support ad-hoc projects including data analysis, presentations, and meeting coordination.

Education/Background Requirements:

- University Degree/College Diploma in Business Administration or relevant field
- Fluent spoken and written English; Spanish desirable.

Specific Knowledge, Skills and Abilities Required:

- High attention to detail with strong organizational and time management skills.
- Strong interpersonal skills with the ability to communicate effectively with diverse stakeholders.
- Self-directed, able to manage competing priorities independently under pressure.
- Proficient in Microsoft Office 365, particularly Excel; experience with project management tools is desirable.

Working Conditions:

- Typical office environment.
- May periodically travel to visit company greenhouses in USA and Canada.
