Production and Sample Coordinator

Position Summary

We are seeking a highly organized and detail-oriented Production and Sample Coordinator to support our production team with day-to-day sample management, supplier follow-up, paperwork, and coordination of approvals. This role is heavily focused on ensuring all samples are received, tracked, reviewed, and shipped on time, while maintaining clear communication with suppliers and internal teams. The role will also support the production process from beginning to end, including managing the color approval process, trim approvals, and other key production submissions.

The ideal candidate is proactive, organized, comfortable following up persistently with suppliers, and able to manage multiple deadlines in a fast-paced apparel production workplace.

Key Responsibilities

Sample Management & Tracking

- Manage the end-to-end flow of production samples, including Aesthetic, Mock-Up, TOP, Editorial, and E-commerce samples, as well as color and production submissions.
- Follow up with suppliers to ensure samples are submitted on time and according to required timelines.
- Receive incoming samples, verify contents, organize and log them accurately, and distribute internally as needed.
- Prepare and ship samples to customer offices, internal teams, and other destinations as required.
- Maintain accurate sample tracking records, including sample type, status, receipt dates, comments, approvals, and shipment details.
- Monitor sample deadlines and proactively escalate late or missing submissions.

Supplier Coordination

- Communicate daily with suppliers regarding sample submissions, pending approvals, and delivery timelines.
- Follow up with suppliers on color approvals, lab dips, strike-offs, shade bands, trims, and related approval items.
- Ensure suppliers understand submission requirements, deadlines, and customer expectations.
- Track outstanding sample issues and approvals and keep the production team updated on progress.





Paperwork & Administrative Support

- Maintain organized records of sample submissions, approvals, comments, courier details, and related production paperwork.
- Prepare, update, and circulate sample status reports and approval trackers.
- Assist with filing, document management, and internal follow-up related to production and sample approvals.
- Support the production team with general coordination and administrative tasks tied to customer deliverables and supplier communication.

Cross-Functional Support

- Work closely with production, design, technical, and sales teams to ensure sample needs and approval timelines are clearly communicated and met.
- Help coordinate sample priorities based on customer deadlines and production calendars.
- Ensure internal teams are informed of incoming samples, approvals needed, and pending issues requiring attention.

Qualifications

- 2+ years of experience in apparel production, sample coordination, merchandising support, or a similar role preferred.
- Strong organizational skills with the ability to manage multiple sample deadlines and follow-ups at once.
- Excellent communication skills and confidence in following up with overseas suppliers and internal teams.
- Detail-oriented with strong paperwork, tracking, and recordkeeping abilities.
- Comfortable working in a fast-paced wholesale / apparel production environment.
- Proficient in Excel, email communication, and basic production tracking tools.
- Experience working with fit samples, TOP samples, color approvals, lab dips, or production submissions is an asset.
