Full-time, contract (10 to 11 months)Position SummaryReporting to the conduct manager and in accordance with the College of Physicians and Surgeons of BC’s policies and procedures, the case administrator is responsible for maintaining complaint files and collaborating with managers and other case administrators with respect to the daily activities of the complaints department.Duties and responsibilitiesMaintain complaint filesact as a liaison between all parties involved in each complaintcreate, open, close and file complaint filessend form letters to complainants and physicianscomplete complaint acknowledgment calls with complainants and subject licenseesmanage bring-forward system and send form letters accordinglyreview complaint materials for risks and escalate as necessaryreview complaint files for completeness, consistency, and accuracy and perform any required redaction of personal informationtrack further actions arising from case conclusionsfile committee minutesProvide administrative and clerical support to the complaints departmentattend interviews with physicians, medical contractors and deputy registrartake transparent, legible notes during interviewsrespond to telephone inquiries from both physicians and members of the public regarding the complaint processassist with the preparation for committee as requiredscan and save complaint file documents to electronic recordother administrative duties as requiredSkills and qualificationssuccessful completion of grade 12 supplemented by a two‑year office administration diploma or equivalent combination of education and experience; post‑secondary education is advantageousdemonstrated ability to work under pressure and deal with diverse members of the public and the profession in emotional situationsstrong interpersonal skills required to successfully facilitate resolution to complex situationssolid understanding of professional regulation and processes an asseta background in health care or familiarity with medical language is preferredworking knowledge of Microsoft Office applications including Word, Outlook, Excel and Teamsability to organize and set work prioritiesability to work both independently and as a team memberability to maintain a calm demeanor during busy or stressful timesability to exercise good judgment in recognizing scope of authority and protecting confidential information is a mustexcellent critical thinking, analytical and problem‑solving skillshigh level of attention to detail, with demonstrated ability to multi‑task in a fast‑paced environmentexcellent written and verbal communication skillsexcellent editing and proofreading skillsprevious experience interfacing with patients or the public is an assetThe compensation range for this position is $50,574 to $63,217 per year.Equality, diversity, inclusion and accommodation statementAll interested applicants, regardless of age, family or marital status, physical or mental disability, race, colour, religion, place of origin, ancestry, Indigenous identity, gender identity or expression, sex, sexual orientation, political belief, socio‑economic background, criminal conviction or any other characteristic protected by applicable law, are strongly encouraged to apply.
