Position Title: Project Coordinator, Construction & Facilities Maintenance

Location: Toronto, Ontario

Role Description: Reporting to the Director of Asset Management, the Project Coordinator, Construction & Facilities Maintenance is responsible for overseeing the successful execution of construction projects while working closely with the Operations team to manage facility service contracts and overall facility maintenance. The ideal candidate will thrive in a dynamic environment, be highly organized, and have the ability to manage multiple complex projects and competing priorities while ensuring projects are delivered efficiently and effectively.

Responsibilities

· Work closely with the Director of Asset Management and Operations team to coordinate construction projects, facility service contracts and ongoing facility maintenance

· Coordinate, tender and oversee construction projects, capital improvements and facility repairs from initial planning through to completion

· Develop and maintain project schedules, timelines, budgets and tracking tools to ensure projects remain on schedule and within budget

· Lead the annual tendering process for facility service contracts and monitor vendor performance throughout the year to identify efficiencies,



improve service levels and achieve cost savings

· Liaise with contractors, vendors, consultants and Operations staff

· Monitor project progress, identify potential issues and coordinate solutions to ensure projects are completed on time, within budget and to the required standards

· Identify, manage and resolve project related issues, conflicts and unforeseen challenges as they arise

· Maintain accurate project documentation, including contracts, proposals, purchase orders, change orders, invoices, project schedules and other relevant materials

· Work collaboratively with Asset Management, Operations and other internal teams to ensure projects and maintenance initiatives are effectively planned and executed

· Assist with identifying opportunities to improve facility operations, maintenance processes and vendor performance

· Perform other related duties and special projects as assigned

Education, Experience & Qualifications :

- 1 to 4+ years of experience in project coordination or facilities management; experience working on health-care institutional projects or multi-family is considered an asset
- Post-secondary education in Construction Management, Architecture, Engineering or related field is an asset
- Understanding of healthcare or multi-family industry standards is an asset
- Strong quantitative communication and analytical skills; excellent written, oral and interpersonal skills
- Ability to operate effectively in a fast-paced environment
- Solid organizational and management skills with the ability to multitask and prioritize tasks for prompt execution
- Proficient in Microsoft Office, project management software or related software
- Must complete a Vulnerable Sector check, including criminal background check

Additional Requirements:

- A valid Province of Ontario Class G driver’s license and access to a reliable vehicle
- Ability to travel to sites on a as needed basis
- May be required to work or respond to issues outside of normal operating hours
