POSITION OVERVIEW
Reporting to the Program Coordinator of Kids Without Limits Inc.
The Scheduling
Coordinator (Part-time) position will be responsible for ensuring a positive client and family experience by effectively scheduling respite services with support workers. You’ll be working to diligently provide as much consistency of care as possible with meeting the scheduling requirements of both our clients and staff. You will also be the central point of contact for families and support workers having you to frequently problem solve.
RESPONSIBLITIES WILL INCLUDE AND WILL NOT BE LIMITED TO:
- Use the scheduling tools effectively to fulfill client requests.
- Provide staff with clear schedules on an as needed basis.
- Ensure staff are scheduled effectively and efficiently. In further detail you must evaluate travel time, skill level, and ensure there is no overtime.
- Communicate with families regarding any schedule changes, and problem-solve effectively.
- Communicate with staff to ensure their schedules are carried out.
- Take into consideration the individual needs of families/clients, and of staff, when making decisions.
- Maintain accurate records of staff availability.
- Maintain continuity of care whenever possible.
- Maintain accessibility by phone.
- Actively pursue positive relationships with staff and families.
- Liaise with Scheduling Supervisor to share family and staff feedback.
- Resolve or escalate, as required, family concerns/issues.
- Respond to emails in a timely manner.
- Escalate appropriate concerns or risks for review and/or follow-up.
- Maintain accessibility after-hours when scheduled to be on-call.
- Ensure confidentially is maintained at all times.
- Hours of work will change on an as needed basis during the week and may include evening/weekends.
The successful candidate will have:
- Experience working in the healthcare field
- Minimum 1-2 years of experience
- Preference given to office admin, medical office training and/or scheduling experience
- Excellent English both written and verbal
- Have customer service experience
- Demonstrate excellent telephone etiquette
- Be able to remain calm in stressful situations
- Be able to empathize with the complexity and difficulty of each client or field staff situation
- Be a detail-oriented, adaptable and focused team player
Job Type: Part-time Salary: $20.00 - $24.00 per hour
Schedule
- Weekend availability
- Saturday: 7:30 AM–3:30 PM; on call from 3:30 PM onwards
- Sunday: on call
- Weekdays: as needed
Education:
- Secondary School (preferred)
Experience:
- Scheduling: 1 year (required)
Pay: $20.00-$24.00 per hour
