Service Administrator - Temporary Full-Time

Six-month term assignment, full-time, with potential to extend or become permanent

Monday to Friday, 8:00 am to 4:30 pm, in-office The job

Fraser Valley Fire Protection services fire and life safety systems for customers across the Fraser Valley and beyond.

The Service Administrator supports the office team with invoicing completed jobs, building estimates, booking appointments, and keeping records current. Data entry and digitizing records will also be a large part of this assignment.

Responsibilities

Invoicing

- Enter completed labour and parts codes into sales orders
- Gather information from sales orders and service reports
- Send invoices and service reports to customers

Estimates
- Review service reports to determine what needs quoting
- Enter parts and labour codes into an estimate
- Send the estimate to the customer for review
- Follow up to confirm they received it and understand it

Scheduling
- Review customer and site information before booking
- Contact customers with a service date




- Create work orders and calendar entries in INFOtrac and ServiceTrade
- Prepare paperwork and service reports for technicians
- Check for outstanding estimates that can be scheduled alongside a visit

Records
- Data-entry and digitization of existing records.

What we're looking for No specific credential or fire protection background required. We do want to see that you can:
- Enter detailed data accurately from paper, PDF and verbal sources.
- Handle customer phone and email contact about billing, quotes or bookings, including difficult calls
- Work inside a job management, accounting, ERP or CRM system of any kind
- Manage several small tasks on different timelines
- Catch errors in paperwork and follow up to get the right answer

Practical but not required: service administration in trades or construction, fire protection or alarm industry experience, familiarity with INFOtrac or ServiceTrade, accounts receivable exposure.
