The Facilities Department at The University of Winnipeg is responsible for the operation, maintenance, and renewal of the University's real estate assets, encompassing building infrastructure, building services, planning and design, project management, and sustainability initiatives.
Within Facilities, the Mail Services unit, operating under the Administration Office, manages all incoming and outgoing shipments for the University. The Shipper/Receiver is a full-time, term position that plays a vital role in ensuring the accurate and timely movement of goods and correspondence across campus. This position also provides operational support to Mail Services and serves as a backup during absences or peak periods in mailroom operations.
Responsibilities:
Receiving:
- Inspects all shipments (approximately 2700 per year) upon receipt from a carrier, observing special considerations (e.g., dangerous goods, live animals, perishables, fixed asset consideration etc.)
- Signs for goods ensuring number of cartons agrees with waybill, reports any visible damage on the waybill.
- Contacts carrier regarding damages to goods found upon opening cartons, initiates claims and returns.
- Ensures goods ordered/goods billed are accounted for by comparing goods ordered with packing slip and purchase order, notifies purchasing if there is a problem with an order.
- Initiates damage reports when required.
- Documents receipt of shipments, prints out records, maintains hard copy of purchase orders.
- Follows up with vendors when information is required, or when there are problems with shipments.
- Notifies purchaser of receipt of goods, delivers, or arranges delivery of goods to departments (including compressed gases and perishables).
- Transports goods to various departments on campus with assistance from Facilities when more than one person is required.
- Assign and affix a UWinnipeg asset barcode label to each fixed asset received, complete the “Fixed Asset Receiving Form” for each capital asset, and forward to Purchasing with Packing Slip.
Shipping:
- Provides estimates of shipping cost, best carrier, etc.
- Process returns of goods and merchandise that is defective for credit or replacement when required.
- May generate request for permission if required by vendor. Verifies items to be returned, packages goods, completes documentation and arranges for pick-up of shipments.
- Document shipments in logbook.
- Supervise the determination, packaging, shipping and administer paperwork for the transportation of dangerous goods (approximately 30 per month) as required by law.
- Contacts couriers and transporters to arrange for pick-up of goods and completes all necessary documentation.
- Sorts shipping charges to ensure allocation to correct budgets and gathers information to determine proof of delivery or refusal of payment.
- Recommend funds for insurance of transported goods.
- Occasionally follows up on returns with designated carriers, in case of damages in transit initiates claim process.
Customer Service, Mail Room Back Up and Other Duties:
- Ensures prompt receipt and transport of goods.
- Promptly follows up on issues e.g., incorrect shipments or missing items.
- Assist in the pre-sort of incoming mail (letters and parcels) from Canada Post, couriers, and interoffice correspondence.
- Deliver and pickup internal and outgoing mail on a pre-set daily schedule to several different central delivery points on campus (avg 6 kms per day)
- Assist in the processing of outgoing mail (letters and parcels) for Canada Post, couriers and interoffice assuring the most economical rates are applied.
- Assist the allocation of mail costs to the appropriate departmental accounts.
- Assist in processing large volume mailings to ensure deadlines are met.
- Assume duties of the Coordinator, Mail Services in their absence.
- Complies with Transportation of Dangerous Goods Act.
- Verifies asset disposals forms are completed for items being disposed of through shipping and receiving.
- Maintains security in the area by limiting access, securing doors, reducing loitering by directing staff, visitors, etc.
- Monitor parking in loading dock area, advises security of unauthorized vehicles.
- Maintain storage of recyclable printer and copier cartridges and return to vendor for processing.
- Act as WHMIS coordinator for all items stored in receiving area.
- Ensure the Shipping/Receiving area is safe, organized, and clean.
- Contact security when trouble arises with people or vehicles in the loading dock/receiving area.
- Other duties as assigned.
Qualifications:
- Minimum 3 years of experience as a Shipper/Receiver.
- Minimum 3 years of experience in Mail Room Operations preferred.
- Experience in a post-secondary institutional setting.
- Experience in maintaining stores and supplies.
- Experience in materials handling.
- Experience in equipment operation e.g., pallet jack, loading dock equipment, etc.
- A certificate in Material Handling would be an asset.
- Must have WHMIS training.
- Must have First Aid training.
- Must have Transportation of Dangerous Goods Certificate.
- Must be proficient in word processing, spread sheet, web based and email applications.
- Must be able to communicate effectively and professionally in both verbally and in writing.
- Must have the ability to direct others.
- Must be knowledgeable in current sustainability and environmental issues, practices, and products.
- Must be able to operate mail machine.
An equivalent combination of education, experience, skills, knowledge and abilities may be considered.
Condition(s) of Employment:
- Must be legally entitled to work in Canada.
- Must hold a valid class 5 driver’s license.
- Must be physically capable of standing and walking for extended periods (approx. 6 km daily) and lifting/moving items frequently (up to 50 lbs / 23 kg).
The salary range for this position will be from $20.03 to $28.50 hourly. Note: The work described in this posting will be conducted in-person.
