Company Description The University Neighbourhoods Association (UNA) supports and represents residents living in neighbourhoods on the University of British Columbia (UBC) campus, fostering a vibrant, sociable, safe, and diverse university town community. Governed by a Board of Directors that includes elected resident directors and appointed representatives from UBC and the Alma Mater Society (AMS), the UNA reflects both community and institutional perspectives.

The organization oversees local regulations such as noise, parking, and animal control, and manages community programs, recreation, elections, landscaping, policies, and by-laws. It also serves as a liaison for the community’s use of UBC facilities, ensuring residents’ concerns and views help shape future development and the allocation of community amenities.

Role Description The Special Event Coordinator is a full time, on-site position based in Vancouver, BC, responsible for planning and delivering community-focused events that support the UNA’s mission. Day-to-day tasks include developing event concepts and schedules, coordinating logistics such as venues, permits, equipment, and supplies, and managing event budgets and timelines.

The role involves communicating with community members, partners, vendors, and internal teams, as well as recruiting, training, and overseeing volunteers to ensure events run smoothly.

The Special Event

Coordinator will handle event promotion and registration,



maintain accurate records and reports, and support evaluation of events to improve future programming. Evening and weekend work may be required in alignment with event schedules.

Qualifications

- Candidates should possess strong Communication skills, including clear spoken and written communication and the ability to collaborate with diverse stakeholders.
- Candidates should possess Customer Service skills, with a focus on creating welcoming, inclusive experiences for residents and event participants.
- Candidates should possess Event Planning skills, including concept development, scheduling, budgeting, and logistics coordination.
- Candidates should possess Event Management skills, including on-site coordination, problem-solving, risk management, and post-event evaluation.
- Candidates should possess Volunteer Management skills, including recruitment, training, scheduling, and recognition of volunteers.
- Relevant additional qualifications include organizational and time-management skills, attention to detail, and proficiency with office and event-management software.
- Experience coordinating community or public events and familiarity with municipal or campus-based community organizations are beneficial.
- A diploma or degree in event management, recreation, communications, or a related field, or equivalent combination of education and experience, is an asset.
