Should the position re-open to additional Candidates, we will review your application, otherwise we will hold your resume on file for future job opportunities.Administrative Coordinatorfor provincial government agency client, downtown Toronto.Job Type: Temporary.Initial Term: June 8 2026 for approximately 6 months, with possibility of direct hire.Existing Vacancy: Yes.Compensation: $35.50 per hour.Regular Work Hours: 7 hours per day not including 1 hour unpaid lunch break, to be worked during regular business hours, Monday to Friday (35 work hours per week).Work Location: 100% onsite at client's downtown office, on PATH and near TTC station.Position Supports: Senior Executive Team.Responsibilities SummaryCoordinate and support comprehensive range of administrative processes and resources for executive team and department, including IT, HR, facilities and financial administration, and act as primary administrative liaison for department.Ensure smooth daily functioning of department operations, planning for and responding to any administrative issues and implementing solutions in accordance with established policy and procedures.Screen, triage and process phone and email inquiries, identifying, addressing, or forwarding matters as needed for additional support.Manage calendar and meetings schedule on behalf of team, including organization of larger or complex meetings, presentations and events requiring collaboration with a diverse range of internal and external stakeholders and other administrative team members.Coordinate travel arrangements according to budget and policy guidelines.Documents preparation, including reports, presentations, charts, graphs, and tables. Compile, format, proofread, print, and distribute information as needed.Conduct research and prepare summaries of relevant information and key issues as briefing materials for leadership team.Maintain centralized electronic and hard copy records and files for department according to established records management policies and schedules.Maintain department budget and financial information, including tracking and reconciling expenses and accruals and processing invoices.
Assist with preparation of monthly and quarterly financial reports.Coordinate administration department programs and projects, collaborating with team to identify and implement administrative process improvement opportunities within the organization.Additional administrative coordination and department support services as required.QualificationsEducation: Post secondary Degree or Diploma in Business Administration, Public Administration, or related field.Preferred Work Experience: At least 5+ years of progressive administrative support experience from a professional office environment, supporting a senior leadership team.Preferred Sector Experience: Professional services, financial services, or public sector services experience an asset.Technical and Language Skills Requirements:Advanced proficiency in Microsoft Office applications including Word, Excel, and PowerPoint (will be tested).Robust data entry and attention to detail (will be tested).Strong English written and reading comprehension skills including advanced level business writing skills, excellent spelling, grammar, proofreading, and syntax (will be tested).Strong English conversational skills and polished, professional telephone manners.Task-Based Qualifications and Additional AttributesPunctual, responsible, and reliable. Demonstrated record of professional conduct and character.Demonstrated ability to work effectively both independently and in a team, environment acting as a resource for other staff and liaise effectively with a wide and diverse range of internal and external stakeholders.Advanced organizational, coordinative and time management skills, with the ability to prioritize tasks effectively for self and others, meet tight deadlines and work well under pressure.Pleasant and courteous.
Demonstrated commitment to client service and professional representation of the organization.Proven ability to professionally handle confidential information and exercise good judgement in the interpretation and application of instructions and organization policy.Superior attention to detail, and organized, methodical approach to completion of tasks.Strong relationship management skills including client and vendor relations management, business networking, negotiation, change management and consulting/advisory skills.Demonstrated ability to work well both independently and collaboratively, and in an advisory capacity, and liaise effectively with a wide and diverse range of internal and external stakeholders.Additional RequirementsMust be legally entitled to work in Canada, providing satisfactory documentation upon request.Ability to work 100% onsite, abiding by organization health and safety policies.Availability to commit to at least a 6-month assignment with possibility of direct-hire.
