Specialty Surgery Department Manager

Capital City Specialty & Emergency is Ottawa’s newest state of the art animal hospital!

The Specialty Surgery Department Manager role at Capital City is designed to provide comprehensive support to the surgery department five days per week (Mon – Fri). A dedicated manager for the surgery department will allow Capital City uphold our reputation for productive, friendly client service and exceptional patient care.

More specific details of the role are included below.

Complete management duties such as (but not limited to):

- Completing bi-weekly payroll in line with company policies
- Scheduling the department support staff
- Covering absences and schedule changes
- Providing annual performance reviews and real-time feedback
- Recruitment for support staff roles
- Conducting regular team meetings and participating in surgeon or all specialty

meetings
- Conflict resolution, both within the department and with clients
- Represent the department at hospital leadership meetings and through one-one-one





meetings with the Hospital Director and Practice Manager Performing administrative duties such as (but not limited to):
- Manage patient records by ensuring medical files, consent forms, diagnostic

results, and referral documentation are complete and up to date.
- Communicate with pet owners regarding appointment scheduling, surgery

preparation instructions, admission and discharge times, and follow-up care.
- Act as a point of contact between multiple hospital services.
- Serve as a point of contact for referring veterinary clinics by coordinating

referrals, transferring medical records, and facilitating communication.
- Maintain accurate electronic medical records and ensure compliance with

confidentiality and recordkeeping standards.
- Ensure compliance with hospital policies, accreditation standards, and health

information privacy requirements.
- Providing financial updates and processing payments.
- Perform other related administrative duties as assigned.

Surgery specific duties (including but not limited to):
- Provide administrative and clinical support to the veterinary surgery team,

including surgeons, technicians, and department leadership.
- Schedule surgical procedures, consultations, follow-up appointments, and recheck





visits while coordinating operating room availability.
- Prepare and distribute surgical estimates, invoices, and client documentation in

accordance with hospital policies.
- Coordinate pre-operative diagnostics, laboratory testing, imaging appointments,

and specialty consultations.
- Monitor surgery schedules and adjust appointments to accommodate emergency

cases and schedule changes.
- Assist with insurance claims, deposits, and financial documentation as required.
- Prepare daily surgical schedules, patient admission lists, and discharge paperwork.
- Answer and direct incoming phone calls, emails, and client inquiries in a

professional and compassionate manner.
- Collaborate with clinical staff to ensure efficient patient flow from admission

through discharge.
- Perform general administrative duties including filing, scanning, copying, mail

distribution, and document preparation.
- Participate in quality improvement initiatives and contribute to maintaining an

organized, efficient, and client-focused surgery service.

Schedule:

Full Time

Monday through Friday with a schedule provided by Capital City and in line with department requirements

Pay: $30.00-$40.00 per hour

Expected hours: 40.0 per week
