Facilities Manager, Academic Learning SpacesCompensation Range: $7,283.75 - $10,474.08 CAD MonthlyJob Summary: The Space Planning and Facilities Management unit supports the Faculty’s academic mission and strategic pillars by ensuring that education and research programs have the spatial and infrastructural requirements to support academic activities. The Facilities Manager provides day‑to‑day operational support for over 150 VC rooms, 175 non‑VC rooms, and other shared academic learning spaces across university and clinical sites throughout the province.Work PerformedFacility Maintenance & OperationsManages the operation of VC, non‑VC rooms, on‑call, clinical skills rooms, libraries and study spaces across 28 health authority sites and four university campuses.Monitors space and furniture condition, initiating actions to improve deficiencies and working with UBC Building Operations and Health Authority Facility Managers on reactive and preventative maintenance.Works closely with Health Authority Facility Managers, UBC Building Operations, Campus Security & Health Authority Security to ensure secure facilities and directs building access permission for users.Oversees internal and external trades, technicians and contractors involved in maintenance, repairs and building services, communicating project status and impacts to Faculty of Medicine stakeholders.Transitions newly opened academic learning spaces to operations, facilitating site visits and arranging orientation and training sessions on Faculty of Medicine booking systems and processes for users.Project ManagementPlans and manages renovations and maintenance projects, coordinating user requirements, specifications, cost estimates, budgets and schedules,



and communicating progress to stakeholders.Attends site meetings with UBC Building Operations, Project Services, Health Authority Facilities Management, external consultants, contractors and end‑users to review project progress.Leads the annual Space & Technology Renewal Needs Assessment in partnership with Digital Solutions and UBC IT/AV to create the Faculty’s renewal project pipeline.Policy/Procedure DevelopmentMaintains knowledge of UBC and Health Authority policies, procedures, guidelines and protocols for facilities maintenance.Identifies patterns in recurring issues, devising standardized processes and workflows, and resolves complex, sensitive matters.Develops and maintains academic learning space booking policies and agreements, providing guidance to users on interpretation and implementation.Participates in safety and security policy and procedure implementation.Member of the Space Planning and Facilities Management Team, helping to implement policies and procedures affecting operations.Administration & CommunicationsBuilds and maintains a strategic network with university and health authority stakeholders.Builds relationships with space users and operations providers, solving property,



security and access issues.Communicates events that may affect teaching or administrative functions in learning spaces.Prepares and manages budgets, payments and purchase orders, monitors building operating expenses and provides cost estimates.Safety & Risk ManagementEnsures safety of learning spaces, monitoring safety issues and initiatives.Works with UBC and Health Authority Safety & Risk Services teams to meet health and safety requirements.Consequence of Error/JudgementMakes decisions regarding budget expenditures, administrative processes and project delivery. Inappropriate judgement or premature disclosure of confidential, sensitive or incorrect information could adversely affect operations, increase operating costs and/or decrease research productivity.SupervisionWorks independently with full latitude and broad mandate. Reports to Director, Space Planning and Facilities Management. May occasionally oversee staff and manage external consultants on special projects.Minimum QualificationsUndergraduate degree in a relevant discipline.Minimum of four years of related experience, or equivalent combination of education and experience.Commitment to diversity, equity and inclusion, respecting diverse perspectives and enhancing awareness.Preferred QualificationsExperience in project coordination, space planning and facilities management.Experience using ARCHiBUS and CAD programs.Experience in university and/or healthcare sector.Excellent computer, oral and written communication, organizational and conflict‑resolution skills.Ability to manage multiple projects simultaneously, work under pressure to meet deadlines.Proven ability to build and maintain business relationships, exercise tact, diplomacy and discretion.#J-18808-Ljbffr
