Windsor Orthopaedics (WO) is seeking a highly organized and proactive Surgical Centre Coordinator to manage the administrative coordination of patients progressing through the Surgical Centre.

This role serves as the central administrative link between patients, physicians, clinical teams and Surgical Centre operations, ensuring referrals, scheduling, documentation and communication are managed accurately and efficiently.

Key Responsibilities

- Manage Surgical Centre referrals from intake through procedure scheduling.
- Provide administrative assistance at other WO clinics as needed.
- Review referrals for completeness and proactively obtain missing information.
- Create and maintain accurate patient records in Accuro.
- Track patients throughout the surgical pathway and ensure administrative requirements are completed on time.
- Coordinate surgical appointments and procedures based on physician availability and established scheduling processes.
- Monitor schedules for gaps, conflicts, cancellations and outstanding requirements.
- Communicate scheduling information and changes to patients, physicians and clinical staff.
- Coordinate and review required pre-admission documentation for administrative completeness.
- Follow up with patients regarding outstanding information or next steps.
- Ensure required documentation is available to the appropriate clinical team.
- Serve as a primary administrative point of contact for patients progressing through the Surgical Centre.
- Provide transparent, professional and compassionate communication regarding scheduling and administrative requirements.
- Identify delays, workflow gaps or barriers to patient progression and take appropriate action.




- Maintain accurate patient tracking, scheduling and operational records.
- Track patient volumes, scheduling activity and outstanding administrative requirements.
- Support the development and improvement of standardized Surgical Centre workflows and processes.
- Collaborate closely with the Practice Manager, physicians, clinical staff, MOAs and Surgical Booking Clerks.
- Escalate clinical questions, patient concerns or operational issues to the appropriate healthcare professional or leader.

Knowledge, Skills and Abilities

- Exceptional organization, coordination and attention to detail.
- Strong problem-solving, critical-thinking and follow-up skills.
- Ability to manage multiple patients, deadlines and competing priorities independently.
- Excellent written and verbal communication skills.
- Strong patient-service orientation and professional judgment.
- Ability to work effectively with physicians, clinical and administrative teams.
- Ability to distinguish between administrative and clinical matters and escalate appropriately.
- Proficiency with EMR systems. Accuro experience is preferred.
- Proficiency with Microsoft Office.

Qualifications

- Diploma in Medical Office Administration, Health Administration or a related field.
- 3+ years of experience in a medical, surgical or specialty clinic environment preferred.
- Experience with patient coordination, referral management or surgical/procedural scheduling strongly preferred.
- Experience supporting surgical or procedural services is an asset.
