Reporting to the Director of Legal Aid, the Administrative Officer provides day to day administrative support to the Director and a wide range of administrative supervision and support to the Legal Aid program, including data collection and reporting, administering private sector fee-for-service cases and accounts, office management functions, coordination of After-Hours Telephone Duty Counsel program, staffing and HR.
Duties will include but are not limited to: Compiling and reporting resource and caseload data, supervising collection and compilation of monthly internal intake reports and annual statistics by section;
Liaison with provincial and federal departments regarding data requirements, financial audit, and completion of the annual federal Legal Aid Claim;
Administering private sector fee-for-service cases and accounts, maintaining accounting records on a case-by-case and global basis for legal aid referrals to private sector lawyers;
Preparing billing authorizations and communicating with private sector lawyers regarding billing procedures and legal aid tariff of fees;
Office management functions, including payment of program accounts, processing invoices for payment, procurement card purchasing, and Oracle FIS reporting. Office contact for building maintenance, security, and records management;




Coordinating After-Hours Telephone Duty Counsel Program, including scheduling on-call duty lawyers, overseeing the on-call telephone system, preparing and processing invoices for duty lawyers, communicating with RCMP telecoms, and compiling duty counsel call data and preparing year end reports;
Assisting the Legal Aid Director by providing administrative supportin all areas of legal aid program service delivery and daily operations.
Supervising administrative support staff and providing guidance in the application process, eligibility, records management, and data collection procedures. Assisting in the hiring process for administrative support positions and maintaining legal aid personnel records and HR files;
Processing travel claims as alternate verifier for legal aid staff and creating expense reports in Oracle for all out of province travel;
Providing backup support and direct assistance to front office staff and in the preparation of court documents.
Minimum Qualifications: Post-secondary degree/diploma from a recognized college/university in a related discipline or office studies program and extensive related work experience;
Must have a broad general knowledge and understanding of the basic features of the federal and provincial justice systems and specific knowledge of legal practice in the areas of criminal and family law;
Excellent written and oral communication skills, as well as excellent interpersonal, time management, problem solving, and organizational skills;
Ability to work independently with minimal supervision and high degree of accuracy and attention to detail;
Computer proficiency in MS Word and Excel;
Must have an excellent previous work and attendance record.
Other Qualifications: Previous work experience in the justice system, particularly in areas of criminal or family law would be an asset;
Knowledge of Oracle financial information system;
Experience in supervisory positions;
Experience in accounts payable and maintaining accounting records would be an asset.
