Northumberland Ferries Limited (NFL) and Bay Ferries Limited(BFL) are seeking a Safety & Data Coordinator to join our Safety& Security team. This is an exciting opportunity to play a key role insupporting safety management, regulatory compliance, and operational excellenceacross our vessel and terminal operations while contributing to the transformationof the organization's digital safety and data systems.

Working closely with safety leaders and stakeholdersacross the organization, you will contribute to the development of modern,data-driven solutions that strengthen decision-making, improve workflows, andadvance our commitment to a proactive and just safety culture. THEROLE
You will report to the DeputyDirector of Safety & Security

KeyResponsibilities
Safety &Security; Systems

Receive, review, categorize, and process safety andsecurity event reports

Manage the full lifecycle of event reports,including corrective actions and stakeholder communications

Maintain and transition the event reportingdatabase from Excel to automated digital solutions

Monitor timelines, target dates, and follow up toensure deadlines are met

Support process owners in the use of reportingsystems

Assist with safety KPIs, analytics, and recordmanagement (e.g., SharePoint libraries)

Demonstrate a commitment to maintaining a just-cause safety culture

ManagementSystem & Audit Support

Support the effectiveness of safety and securitymanagement systems





Assist process owners with documentation related tocorrective/preventive actions and audit findings

Coordinate audit programs, including scheduling,recordkeeping, and follow-up actions

Support audit teams during vessel and terminalaudits and site visits

Assist with audit reporting and tracking findingsto closure

Provide support to environmental reporting andaudit activities

GeneralAdministrative Support

Support safety initiatives such as audits, learningfairs, exercises, and training materials

Schedule meetings, prepare agendas, record minutes,and maintain action and decision logs

Assist with project schedules, roadmaps, progressreports, and improvement plans

Monitor safety inboxes and calendars

Track and support completion of safety action plans

Liaise with internal and external stakeholders,including contractors

Coordinate workshops and maintain accurate projecttrackers, logs, and documentation

DataManagement, Workflows & Analytics

Support the transition, configuration,implementation, management and support of digital safety platforms

Support, build, maintain and use M365 toolsincluding Teams, Sharepoint, distribution lists, Excel workbooks, databases,and M365 workflows (e.g., Power Automate)

Assist with data capture, KPI and trendanalysis, and Power BI dashboard development

Support other departments (e.g., EmergencyPlanning & Response, People & Culture) with safety-related data andworkflows[AS1]

What YouBring to the Team





Experience supportingsafety management systems, safety programs, audits, inspections, orregulatory compliance

Understanding ofincident/event reporting, hazard identification, risk assessment, andcorrective/preventive actions

Experience trackingsafety issues, risks, corrective actions, audit findings, and action itemsthrough to completion

Strong organizational,communication, and coordination skills, with the ability to workeffectively with vessel, terminal, and corporate teams

Ability to managesensitive safety and personal information with confidentiality anddiscretion

Understanding of datagovernance, privacy, information safeguarding, and safety recordkeepingrequirements

Strong analytical andproblem-solving skills with a proactive approach to identifying safetytrends and opportunities for improvement

Proficiency in Microsoft 365, including Excel, SharePoint, and Teams

Experience with databases, data management, and data analysis

Experience with data visualization and reporting tools (e.g., Power BI)

Assets:

Post-secondary degree or diploma in Business,Administration, OSH or an IT-related discipline, or certification inhealth, safety, security, workplace, or a related field

Experience in digital transformation, metadatamanagement, or enterprise application administration

Background in incident investigation or root causeanalysis considered an asset

WORKING CONDITIONS
Normal office environment in one of the company’s officelocations. This role will require visits to vessels, terminals,and other company locations on an as needed basis. Occasional workoutside of regular business hours to address urgent system/platform matters,including periodic overnight travel.
