The Human Resources Generalist supports the day-to-day delivery of human resources programs and services across the organization. Reporting directly to the Senior Manager, Human Resources & Office Management, this role serves as a key operational resource within the HR function, providing support across onboarding, employee records management, payroll and benefits administration, training coordination, workplace safety, compliance activities, employee experience initiatives, and recruitment support. The successful candidate will be a highly organized and proactive HR professional who takes initiative, anticipates needs, and thrives in a fast-paced workplace.
Key Responsibilities
Human Resources Operations & Administration
Maintain accurate, complete, and organized employee files and HRIS records, ensuring all documentation is appropriately labelled, filed, and retained in accordance with company standards and privacy requirements. Ensure employee records are updated promptly, maintained in chronological order, and regularly audited for accuracy, completeness, and compliance.
Assist with HR reporting, data collection, audits, record reviews, and compliance requirements.
Prepare and maintain HR metrics, dashboards, and key performance indicators (KPIs), ensuring accurate and timely reporting to support workforce planning, employee retention, operational effectiveness, and HR decision-making.
Maintain records related to employee work permits and employment authorization, proactively track upcoming expirations, coordinate renewal documentation with employees, and ensure accurate and timely reporting of status changes and supporting documentation to Corporate Human Resources.
Respond to employee inquiries regarding HR policies, procedures, and programs.
Receive, review, and process HR-related invoices and purchase requests through the Coupa procurement system, ensuring accuracy, appropriate approvals, and timely submission for payment processing.
Prepare and issue customs, business travel, and site visitor letters for employees, vendors, and external guests, ensuring documentation is accurate, approved as required, and distributed in a timely manner to support business operations.
Support the ongoing administration and continuous improvement of HR processes.
Employee Experience & Organizational Support
Participate in HR and corporate initiatives, projects, and special assignments.
Assist with employee engagement, recognition, and retention initiatives.
Conduct "stay" interviews to gather employee feedback and identify opportunities to support retention and employee engagement.
Conduct exit interviews, compile and summarize feedback, support turnover reporting and organizational improvement initiatives, and coordinate employee offboarding activities to ensure a smooth and professional transition.
Assist in the coordination and support of company events, employee programs, social activities, meetings, and key corporate initiatives, ensuring effective planning, communication, execution, and employee participation.
Serve as a key backup resource for critical HR functions, ensuring continuity of service and timely completion of essential HR activities during periods of absence or increased workload.
Onboarding & Talent Acquisition Support
Coordinate and facilitate onboarding activities designed to support employee engagement and successful integration into the organization, including orientation programs, site tours, and "Meet the President" sessions for all new hires.
Coordinate the receipt of completed background screening reports from Corporate Human Resources and ensure results are communicated to hiring managers and HR leadership in a timely and confidential manner.
Provide administrative and coordination support for student hiring and government-funded employment programs, assisting the Talent Acquisition Specialist with funding applications, reporting requirements, and program administration as needed.
Prepare onboarding documentation and employee training binders.
Support full-cycle recruitment activities for assigned positions.
Prepare and post job advertisements through various recruitment channels.
Screen applications and coordinate interviews with hiring managers.
Support candidate communications throughout the recruitment process, ensuring candidates receive timely updates, clear information regarding application status, and a professional recruitment experience. Ensure recruitment activities, job postings, compensation disclosures, and candidate communications comply with applicable employment legislation, pay transparency requirements, and company policies.
Provide backup support to the Talent Acquisition Specialist during absences and peak recruitment periods.
Payroll & Benefits Coordination
Provide backup support for payroll processing activities.
Assist with payroll-related data collection and employee information updates.
Support group benefits administration by responding to employee inquiries, providing appropriate forms and information, coordinating enrollments, changes, and terminations, and ensuring accurate and timely submission of benefits-related documentation to Corporate Human Resources and external providers.
Liaise with Corporate Human Resources and employees to facilitate benefits-related processes and resolve routine inquiries.
Training & Development Coordination
Coordinate training schedules, registrations, and employee participation.
Support compliance-related training initiatives and reporting requirements.
Assist with the administration of employee learning and development programs.
Coordinate logistics for internal and external training activities.
Workplace Safety & WSIB Administration
Provide administrative and backup support for workplace health and safety programs.
Support workplace injury reporting and documentation.
Assist with WSIB claim administration, tracking, and reporting requirements.
Support return-to-work and accommodation administration activities.
Assist with health and safety initiatives and committee activities as required.
Qualifications
Education
Post-secondary diploma or degree in Human Resources, Business Administration, or a related field.
Completion of a Human Resources Management Certificate or Postgraduate Human Resources Program is preferred. Progress toward or possession of the CHRP designation is considered an asset.
Experience
Minimum 2-5 years of progressive experience in Human Resources.
Experience supporting recruitment, onboarding, HR administration, and employee records management.
Experience supporting payroll and benefits activities, including responding to employee inquiries, coordinating documentation, and liaising with internal and external stakeholders, is preferred.
Experience supporting WSIB administration and workplace safety programs is considered an asset.
Experience supporting Human Resources operations within a fast-paced manufacturing, professional, regulated, or compliance-driven environment is preferred.
Knowledge, Skills & Abilities
Working knowledge of Ontario employment legislation and HR best practices.
Strong organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment.
Excellent attention to detail and accuracy.
Demonstrated ability to maintain highly organized records, documentation, and administrative processes with a strong focus on accuracy, completeness, and follow-through.
Demonstrated ability to work independently and exercise sound judgment with minimal supervision.
Strong initiative and a proactive approach to identifying issues, opportunities, and solutions.

Proficiency with Microsoft Office applications, HRIS systems, and related workplace technologies.
The starting annual base compensation for this position is $65,000 CAD. The actual offer, reflecting the total compensation package plus benefits, will be determined by a number of factors which include but are not limited to the applicant’s experience, knowledge, skills, and abilities.
