Veterinary Assistant / Administrative Assistant

Position Overview
Coburg Animal Hospital is seeking a friendly, compassionate, reliable, and organized Veterinary Assistant / Administrative Assistant to join our team. This is a diverse role combining hands-on support for the veterinary team with reception, client service, and administrative responsibilities.
The ideal candidate is comfortable working with both people and animals, has excellent communication skills, pays close attention to detail, and enjoys working as part of a close-knit veterinary team.
Key Responsibilities
Veterinary Assistant Duties
- Assist veterinarians and veterinary technicians with appointments and procedures.
- Safely and compassionately handle and restrain dogs, cats, and other companion animals.
- Prepare examination and treatment areas.
- Assist with surgical and dental procedures as directed.
- Prepare and clean equipment and treatment areas.
- Assist with laboratory samples, diagnostic testing, radiographs, and other procedures as required.
- Prepare patients for procedures and provide appropriate post-procedure care.
- Monitor hospitalized or recovering patients as directed by the veterinary team.
- Maintain cleanliness, sanitation, and organization throughout the hospital.
- Stock medical supplies, pharmacy items, and treatment areas.
- Assist with animal feeding, cleaning, and general patient care.
- Follow hospital safety, infection-control, and animal-handling protocols.
Administrative / Reception Duties
- Welcome clients and their pets in a friendly and professional manner.
- Answer telephone calls, emails, and client inquiries.
- Schedule and confirm appointments.
- Check patients in and out.
- Process payments and maintain accurate client records.
- Communicate appointment information and instructions to clients.
- Prepare invoices and assist with estimates and payment processing.
- Manage prescription and food requests.
- Maintain accurate medical records and client information.
- Assist with ordering supplies and maintaining inventory.
- Process laboratory submissions and other administrative paperwork.
- Assist with general office organization and day-to-day clinic operations.
Qualifications
- Previous veterinary, animal-care, reception, or customer-service experience is an asset.
- Veterinary Assistant education or experience is preferred but not required.
- Comfortable handling dogs and cats.
- Strong communication and interpersonal skills.
- Excellent organizational and time-management abilities.
- Strong attention to detail and accuracy.
- Comfortable working in a busy veterinary environment.
- Able to work independently while also being a strong team player.
- Professional, dependable, compassionate, and positive attitude.
- Comfortable using computers and learning veterinary practice-management software.
- Ability to maintain confidentiality and handle sensitive client information professionally.
Physical Requirements This position involves a combination of office and veterinary-assistance duties and may require:
- Standing and walking for extended periods.
- Bending, lifting, and carrying supplies.
- Safely handling and restraining animals.
- Lifting and carrying animals when required.
- Working around animal hair, bodily fluids, medications, and cleaning products.
