Job Title:Digital Collections Coordinator (Contract)Location:Canada’s Sports Hall of Fame. Work will be performed on site.Type:Contract, part-timeHours:Monday – Thursday, 8:30 AM – 5:00 PMSalary:Contract position at $28/hour for a 6-month term four days per week, with potential for extension.Description of RoleReporting to the Manager, Digital Assets & Exhibits, the Digital Collections Coordinator will support the implementation of a new Digital Asset Management (DAM) system, catalogue digital assets, coordinate artifact loans, and support exhibit development. This position will play a key role in preparing, verifying, and migrating digital assets, ensuring metadata accuracy, and maintaining loan and accession files. The role bridges museum collections knowledge with digital asset expertise to support the museum’s digital collection and long‑term preservation goals. The role includes the expected use of AI‑supported tools in alignment with organizational standards.Key ResponsibilitiesDigital Asset ManagementAssist in the configuration and population of the DAM system.Review, validate, and ingest digital assets into the DAM system, ensuring accurate metadata and tagging.Ensure metadata aligns with museum standards, vocabularies, and lexicons (e.G., Museum Nomenclature).Identify and remove duplicate files, ensuring file integrity and version control.Work collaboratively with the Manager, Digital Assets & Exhibits, and the Senior Director, Digital Innovation, to develop and maintain documentation for metadata standards, asset naming conventions,



and DAM workflows.Create training and procedural documents and provide training support to staff on DAM usage and best practices.Collections IntegrationEnsure digital assets are accurately linked to physical objects, associated Hall of Famer records, and all related collections documentation.Support digitization projects by organizing and managing incoming artifact loans.Maintain collection documentation, including loan forms, insurance values, condition reports, and gift agreements.Catalogue digital assets that are accessioned into the collection.Exhibit SupportSupport exhibit development, including research, planning, and storyboarding.Assist with the annual Order of Sport Awards exhibit, including mount‑making, design, label copy, and shipping.Assist with the deployment of digital exhibits on elo touchscreens, including preparing kiosks for shipping, and installing kiosks and backdrops at local venues.Other duties as assigned.Required QualificationsDegree in Museum Studies, Library & Information Science, Archival Studies, or a related field.Familiarity with DAM systems and digital preservation principles is essential.Hands‑on experience working with museum or archival collections.Excellent attention to detail and organizational skills.Must be able to lift and carry up to 50 lbs, with or without accommodation.Ability to work independently and collaboratively in a project‑driven workplace.Experience working with AI‑supported tools, including Large Language Models, to support content creation and workflows.Preferred QualificationsKnowledge of PastPerfect 5.0 or other Collections Management systems is considered an asset.Experience designing and maintaining prompts, taxonomies, or training datasets to support LLM‑based workflows is considered an asset.Proficiency in French is considered an asset.#J-18808-Ljbffr
