The Role
We're searching for a Payroll & Finance Specialist who shares our commitment to excellence, teamwork, and continuous improvement.

REPORTS TO: People Development Manager

HOURS: Full-Time 40 hours weekly

SUMMARY: The Payroll & Finance Specialist is responsible for the accurate and compliant administration of payroll while also supporting accounts payable and financial administration functions. This cross‑functional role ensures employees are paid accurately and on time, payroll obligations are met in accordance with applicable legislation, vendor invoices and payments are processed efficiently, and financial records are maintained in compliance with company policies and audit requirements. This role serves as a key liaison between employees, vendors, People Development, and Finance, providing exceptional service, maintaining strict confidentiality,



and contributing to the continuous improvement of payroll and financial processes.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Payroll responsibilities take precedence during payroll processing and legislated deadlines. Outside of these periods, the role balances payroll and accounts payable duties based on operational requirements.

Payroll Administration (Approximately 50%)

Administer end ‑ to ‑ end payroll processing for all hourly and salaried employees, ensuring accuracy, timeliness, and compliance with federal and provincial payroll regulations

Process payroll changes including new hires, terminations, wage adjustments, bonuses, deductions, garnishments, and benefit changes

Support employee benefit plan administration, including enrollments, terminations, life event changes, reconciliations, vendor communications, and employee inquiries.

Prepare, review, and distribute payroll reports; maintain accurate payroll records in accordance with legal retention requirements

Coordinate payroll tax filings and statutory remittances, including T4 preparation and year ‑ end reporting

Serve as a primary point of contact for employee payroll and benefits inquiries; investigate and resolve discrepancies in a timely and confidential manner

Serve as a super user for the Company's HRIS, payroll, and benefits administration systems, supporting reporting, system maintenance, back‑end configuration, testing, and continuous improvement initiatives

Collaborate with the People Development Manager to ensure systems are optimized, compliant, and aligned with organizational objectives and business needs.

Maintain payroll, benefits, and HRIS procedures and documentation; provide guidance and training to managers and employees on system processes as required.

Generate and analyze payroll, workforce, benefits, and HRIS reports to support operational decision‑making, compliance requirements, audits, and departmental initiatives.

Accounts Payable & Financial Administration (Approximately 50%)

Process vendor invoices by matching invoices to purchase orders and receiving documentation; review for accuracy and resolve discrepancies

Code and post accounts payable transactions in the ERP system; ensure proper GL coding and documentation standards are met

Assist with payment planning, cash flow coordination, and vendor communication to ensure timely and accurate payments

Perform corporate credit card reconciliations and follow up on debit balances and outstanding items

Support month ‑ end procedures, reconciliations, and other accounting functions as required

Maintain electronic records and supporting documentation in accordance with company policies and audit standards

In addition to the duties outlined above, the incumbent may be assigned other related payroll, accounts payable, or administrative responsibilities as required to support operational and business needs.

WORK ENVIRONMENT

Working conditions are normal for an office environment, minimal noise with temperature controls.

Occasional exposure to the manufacturing environment including exposure to seasonal temperature changes, loud noises, and moving machinery.

Travel between company owned properties may be required.

Schedule flexibility is required, including occasional weekend, holiday, or adjusted work hours to ensure timely payroll processing and employee support across multiple shifts.

Use of personal protective equipment (PPE) when in the manufacturing facility to include but not limited to, safety glasses, steel toe foot protection, hearing protection, and hard hats.

QUALIFICATIONS
EDUCATION/EXPERIENCE

Payroll Compliance Practitioner (PCP) or Certified Payroll Manager (CPM) or a minimum 3-5 years of experience in payroll administration.

Experience with ADP Workforce Now or a comparable payroll/HRIS platform is strongly preferred. Experience administering employee benefits programs and generating system reports is considered an asset.

Experience with Sage/QuickBooks is preferred.

Proficient computer skills, including Microsoft office, SharePoint, LMS systems, and mobile technology.

Advanced proficiency in Microsoft Excel, including data analysis, reporting, and reconciliation functions, is considered an asset.

Experience in a Manufacturing environment considered a bonus.
