Hiring RequirementsThe Payroll Specialist is a key member of our payroll team, responsible for ensuring the accurate and timely processing of weekly and bi‑weekly payrolls for employees across multiple provinces. This role requires exceptional attention to detail, strong analytical skills, and a deep understanding of Canadian payroll legislation across all provinces. The ideal candidate thrives in a fast‑paced environment, maintains a high level of confidentiality, and consistently delivers exceptional customer service to our associates, internal and external stakeholders.Key ResponsibilitiesPrepare and administer payroll for all company employees, auditing payroll reports to ensure accuracy and compliance.Maintain up‑to‑date knowledge of payroll legislation and regulatory requirements across all Canadian provinces.Calculate wages, statutory withholdings, and company‑specific deductions with a high degree of accuracy.Manage and maintain the Oracle in‑house payroll system, ensuring employee records—including payroll, leave, and overtime—are complete and accurate.Safeguard the integrity and confidentiality of payroll data while processing payroll according to established schedules.Reconcile payroll transactions and prepare final worksheets for approval prior to transmission.Complete weekly filing of employee maintenance records, compliance documentation, and internal reporting.Ensure all employees are paid accurately and on time.Prepare and submit Records of Employment (ROEs) through ROE Web.Maintain detailed payroll documentation to support audit readiness and statutory compliance.Complete month‑end reporting and coordinate payments to third‑party vendors and government agencies.Provide exceptional customer service by responding to payroll inquiries from employees, management,
and government agencies within a 48‑hour turnaround.Support internal and external audits by providing accurate payroll data and documentation.Participate in special projects and process improvement initiatives as required.Perform additional related duties as assigned.Experience & EducationFluency in English is required; French language skills are considered an asset.Post‑secondary education or equivalent work experience.Completion of Payroll Compliance Professional (PCP) certification.Minimum of 5 years of full‑cycle (end‑to‑end) payroll experience within a unionized environment.Proficiency with Oracle, Kronos, ROE Web.Strong computer skills, including advanced Microsoft Excel (VLOOKUP, Pivot Tables, formula troubleshooting), as well as proficiency in Outlook and Word.Demonstrated ability to handle confidential and sensitive information with sound judgement and a strong commitment to data integrity.High attention to detail, accuracy, and ownership of work.Ability to multitask, prioritize effectively, work under pressure, and meet tight deadlines.Experience with all year‑end processing activities.Solid understanding of Canadian employment and payroll legislation (Federal, provincial, and municipal), including ESA, CRA, MRQ and Workers Compensation requirements.Robust customer service orientation and positive, collaborative team attitude.SalaryThe annual salary range for applicants is: $70,000 – $80,000, which does not include discretionary bonus compensation or our comprehensive benefits package.
