Professional supports are there for a season or a reason, not a lifetime, because our goal is to empower individuals and families to thrive independently.THE ROLEReporting to the Executive Director, the Executive Assistant provides senior level executive, administrative and governance across McMan Regional and provincial structures. The role functions as a trusted partner to the Executive Director, supporting day-to-day effectiveness through meetings coordination, briefings, correspondence and preparation of executive level materials.In addition, the role plays a key coordinating function to regional and provincial governance activities, including preparation for Boards, Committees, Annual General meetings, annual reports and organization reporting. The Executive Assistant supports the flow of information from Regional Executive Directors and consolidates material to support provincial governance and decision making.Operating with a high degree of independence, discretion and judgement, the role is integral to supporting executive leadership, effective governance, accountability and organizational continuity.KEY RESPONSIBILITIESExecutive Assistant to the Executive DirectorAdministrative & Executive SupportAct as the primary administrative partner to the Executive Director, exercising independent judgment to prioritize competing demands and manage sensitive mattersManage, screen, and prioritize correspondence, inquiries, and information flow on behalf of the Executive DirectorDraft, edit, and prepare executive correspondence, briefing notes, reports, and internal/external communicationsSupport executive decision making through research, synthesis of information, and preparation of high-quality documents and presentationsScheduling & CoordinationProactively manage the Executive Director’s complex calendar, including meetings, travel, conferences, and competing deadlinesCoordinate logistics for meetings, teleconferences, videoconferences, and events, including agendas, materials, attendance, and follow‑upMaintain organizational calendars and tracking systems for governance, leadership and organizational deliverablesInformation ManagementCollect, analyze, and synthesize data to support executive decision-makingDevelop, organize, and maintain secure electronic and physical filing systemsRecord, maintain, and retrieve historical records, meeting documentation,
and institutional knowledgeConfidentiality & Risk ManagementSafeguard confidential, sensitive, and privileged information in accordance with organizational policy, privacy legislation, and best practicesDemonstrate discretion, professionalism, and sound judgment in all interactionsMeeting Support & DocumentationAttend internal and external meetings as required; accurately capture discussion points, decisions, and action itemsPrepare, review, and circulate draft meeting minutes and follow‑up documentationTrack action items and support accountability across leadership and cross‑functional teamsPresentation & ReportingDevelop presentations, dashboards, and executive summaries to inform planning and decision‑makingSupport reporting requirements for leadership, funders, and governance bodiesGovernance & Board Support (Regional & Provincial)Provide end to end administrative and documentation support for Regional and Provincial Boards, including Board of Directors, Audit Committees and Annual General MeetingsCoordinate governance processes in accordance with organizational bylaws, governance standards, and confidentiality requirementsPrepare compile and securely distribute Board and committee materials, supporting informed decision making and complianceAttend Board meetings and committee meetings as required; draft accurate minute resolutions and follow up documentation to ensure accountability and continuitySupport governance follow through, records management, and institutional knowledge related to Board and committee activities.Other ResponsibilitiesAssist with drafting, reviewing, and formatting organizational policies and proceduresSupport special projects, initiatives, and organizational events as assignedProvide backup reception and office management support as requiredParticipate in committees and working groups, contributing administrative expertisePerform additional duties consistent with the scope and seniority of the roleIDEAL CANDIDATEEducationDiploma or Degree in Office Administration, Business Administration, or a related fieldEquivalent combination of education and significant, relevant experience may be consideredExperienceMinimum 4+ years of progressive administrative or executive support experience, preferably supporting senior leadership or boardsDemonstrated experience supporting governance bodies (Board, committees, AGM) is strongly preferredExperience working in a non‑profit, human services, or community‑based organization is an assetSkills & CompetenciesCore CompetenciesExceptional organizational, time‑management, and prioritization skills in a quick‑paced environmentHigh degree of accuracy, attention to detail, and follow‑throughStrong judgment, discretion,
