Client Care Coordinator

Department: Radiation Oncology

Location: Victoria, BC

Compensation: $26.00 - $30.00 per hour

Position Type: Full-time

Schedule: The department operates on a Monday-Thursday schedule.

Central Victoria Veterinary Hospital is welcoming a Radiation Oncology Coordinator to join our Radiation Oncology team.

This role serves as a vital liaison between clients, the Radiation Oncology team, referring veterinarians, and other departments within Central Victoria Veterinary Hospital, ensuring explicit, compassionate, and high-quality communication throughout the patient care journey. The ideal candidate is highly organized, dedicated, empathetic and professional, with a genuine desire to support clients through what can be an emotional and challenging time.

Key Responsibilities:

Manage new referrals, ensuring all pertinent information, medical records, etc has been received prior to consultations

Schedule appointments and liaise with other departments (for shared patients)

Ensure clients are prepared with "what to expect" during their pet's care with us and respond to questions as needed

Manage client correspondence, referring veterinarians & internal office messages; follow up as needed to ensure all communications are completed

Admitting and discharging patients as well as ensuring all required documentation is complete and entered into patient records

Invoicing/billing; creating treatment plans, obtaining pet owner confirmation and processing payments
