About Us

The Schulich Interfaculty Program in Public Health offers a unique, world class Master of Public Health (MPH) Program. The MPH Program will produce transformative knowledge, professionals and leaders that work to create healthy and sustainable communities both locally and globally. To this end, the Schulich Interfaculty Program in Public Health fosters professional education, public outreach and scholarship to support practitioners, leaders and change agents in moving societies toward more sustainably healthy futures.

Responsibilities

As part of the incumbent’s duties, the individual shall be solely responsible for:

- Managing correspondence in the MPH Mailbox
- Creating file folders and tracking all correspondence for general inquiries, current students, applicants and alumni

- Tracking student records and certificates
- Maintaining office supply inventory and ensuring the storage room is organized
- Maintaining the CRM database
- Uploading Practicum Projects to online platform
- Updating SGPS membership renewals
- Preparing travel expense forms for students and guests seeking reimbursement for sanctioned expenses
- Creating and updating Standard Office Procedures (SOPs) for all positions
- Archiving applicant and graduate files on a regular basis and in accordance with Western University’s retention policies

In addition, the incumbent will assist the Manager, Program Coordinator and/or the Career and Engagement Officer, when applicable, with:

- Attending recruitment events and conferences
- Assisting with event planning and preparation
- Assisting with CEPH data collection
- Preparing materials for the Director and Manager for meetings as required




- Assisting Program Coordinator and Career and Engagement Officer as needed
- Performing yearly file updates and purges
- Other duties as assigned

Qualifications
Education:

- Community College Diploma in an administrative field

Experience:

- 1 year of experience providing customer service in a business office setting

- Experience in a post-secondary environment is an asset

Skills, Abilities & Expertise:

- Knowledge of general office procedures including records management systems
- Ability to establish effective routines for excellent communication with all members of the team to maximize productivity
- Proven ability and natural inclination to interact with people in professional, respectful and diplomatic manner
- Self-motivated multi-tasker with strong organizational skills
- Positive, outgoing attitude with genuine customer service orientation
- Demonstrated ability to work independently, take initiative and follow through on work assignments
- Familiarity with University policies and procedures preferred
- Written and verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
- Customer service skills to understand customer needs and expectations, with a desire to deliver helpful and reliable service to the University community
