Our core values of creativity, quality, collaboration, integrity, and curiosity are not just pretty words we put on the wall; they are embodied in how we show up every day. We ask “why” because clarity fuels great ideas, trust, and creative thinking. It’s a culture where curiosity is encouraged, voices are (truly) heard, and people grow fast. These are just some of the reasons people thrive and grow at Brain Box.

As much as we are interviewing you, we understand (and want) you to interview us. Before you apply, we want to highlight the following to ensure we manage your expectations:
- Our standard working hours are 10:00 am to 6:00 pm EST, Monday to Friday.
- This role is in the office (Liberty Village, Toronto) 2 days a week.
- The employer-sponsored benefits kick in after probation (3 months)
We care about your lifestyle and work-life balance needs and want to ensure this schedule works for you.
The Role
We're hiring an HR Generalist to be the day-to-day steward of our people operations, the person employees go to when they have a question about a policy, a time-off request, or how something works around here, and the person who keeps our HR programs running smoothly behind the scenes so the rest of the team can focus on their work.
This is a broad, hands-on role. You'll touch nearly every part of the employee lifecycle: documenting and maintaining our policies and handbook, supporting hiring and onboarding, coordinating performance reviews, and planning the events and recognition moments that make Brain Box a great place to work.
What You’ll Do
- Document and maintain HR policies, procedures, records and the employee handbook, keeping them current and easy for employees to actually find and use.
- Own the full recruitment cycle, including onboarding for new hires.
- Plan, organize, and coordinate employee social events.
- Support employee recognition and engagement initiatives, such as birthdays, work anniversaries, and our monthly socials.
- Run regular one-on-ones focused on team health, surfacing concerns early and connecting employees with the right support.
- Manage employee time-off requests and other special requests, keeping records accurate and communication clear.
- Coordinate the employee performance appraisal program, ensuring the process stays on schedule and remains consistent across teams.
- Support contractor and vendor agreements and coordinate with legal counsel where needed.
- Assist with job architecture and levelling as the team grows, including helping define role scope, titles, and compensation bands.
- Oversee company-wide time tracking practices and ensure timesheets are completed accurately and on time.
- Work with the leadership team on recurring client invoice billing.
What You Bring
- Experience supporting HR at a startup or small agency, wearing multiple hats rather than owning one narrow lane.
- You have 3+ years of experience in an HR generalist or people operations role.
- You're comfortable holding confidential information and handling sensitive employee conversations with discretion.
- You're organized and detail-oriented. Deadlines, records, and time-off requests don't fall through the cracks on your watch.
- Emotionally intelligent: people feel good talking to you, and it shows in the work
- You communicate clearly and warmly, whether you're writing a company announcement or having a one-on-one about how someone's really doing.
- You're comfortable with ambiguity and can figure out a reasonable next step even when there isn't a policy that covers it yet.
- You genuinely enjoy the people side of work: planning something fun for the team is as satisfying to you as tidying up a records system.
- Comfortable travelling for conferences and events
Nice to have
- CHRP or CHRL designation (or actively working toward one)
- Experience with Canadian employment law standards
