About Us
We're a growing practice serving both OHIP patients and private cosmetic clients. Our team is small, close-knit, and genuinely invested in helping our people grow , and not just fill a role.
The Role
We're not just filling a role, we're building our next clinic leader. We're looking for an experienced Patient Coordinator to be the face of our clinic.
Someone who thrives on juggling a busy front desk and genuinely enjoys taking care of people, whether a patient's in for a covered procedure or a cosmetic consult. This role offers real potential to grow beyond front-desk work as our practice expands.
What You'll Do
- Greet patients and visitors, creating a welcoming and qualified first impression
- Manage a busy multi-line phone system with a warm, clear, and engaged tone. At our clinic, every call matters
- Handle incoming emails from patients, hospital staff, and third-party vendors
- Schedule appointments and maintain accurate patient records
- Book OR patients through the Epic system
- Verify insurance information and process payments (OHIP and private billing)
- Manage day-to-day tasks through our EMR system (Accuro)
- Coordinate referrals with other healthcare providers
- Support the surgeon with occasional ad-hoc administrative requests (printing, forwarding documents, quick errands) with flexibility and a can-do attitude
What We're Looking For
- 3–5 years of experience in a medical office setting, ideally with exposure to both OHIP and private-pay billing
- A calm,
steady presence under pressure you're able to prioritize when a patient's at the counter, the phone's ringing, and the surgeon has an urgent request, all at once
- Genuine professionalism on the phone ; a warm, engaged tone, every time, not just when things are quiet
- The judgment to know when to let a patient talk something through and when to gently keep things moving ; especially with our senior patients, who often need a little extra patience
- Comfort with accountability when something goes sideways — solutions-focused, not defensive
- Strong working knowledge of Epic and/or Accuro, and general medical terminology
- Excellent written and spoken English
- Top-notch organizational skills and the ability to multitask
Why This Role Is Different
- $42,000–$52,000 starting range, with clear paths to increase pay as your skills grow
- This is a launchpad, not a dead end; you'll be the first point of contact for patients navigating what can be a nerve-wracking or deeply personal experience, and you'll play a key role in making them feel taken care of, with real opportunity to grow into more over time
- Learn in-demand skills like OHIP billing that make you more competitive wherever your career goes
- Work directly with a close-knit, supportive team that invests in your development
Pay: $45,000.00-$52,000.00 per year
Application question(s):
- Have you used Accuro before?
- Have you used the Epic system before?
- Do you have OHIP billing experience?
