About the Position
Bay Point Contracting is seeking an analytical, organized, and construction-focused Construction Estimator & Project Assistant to lead the estimating process and support the planning and execution of our renovation projects.
This is primarily an estimating position. The successful candidate will be responsible for preparing accurate estimates, budgets, proposals, contracts, and timelines while developing a thorough understanding of each project's scope, risks, materials, labour requirements, and construction methods.
The position will also support project managers with scheduling, procurement, cost control, documentation, and project coordination. Additional responsibilities include assisting the Office Manager with company asset records and the administration of vehicles, trailers, equipment, technology, and related agreements.
You will report directly to the owner and collaborate with company leadership, the in-house designer, project managers, clients, subcontractors, suppliers, and municipal authorities.

Duties
Estimating
- Develop, improve, and maintain an accurate and efficient estimating process.
- Prepare detailed construction and renovation estimates covering materials, labour, equipment, subcontractors, and other project expenses.
- Review drawings, project documents, specifications, and site conditions to develop a thorough understanding of each project.
- Conduct site visits and apply knowledge of construction practices, safety requirements, and the Ontario Building Code.
- Prepare detailed bid proposals, cost breakdowns, timelines, contracts, and project specifications for management review and client presentation.
- Collaborate with leadership, the in-house designer, project managers, and clients to clarify project requirements and objectives.
- Create project budgets and assist project managers with ongoing cost tracking and cost control.
- Maintain historical pricing information from quoted and completed projects to improve future estimating accuracy.
- Request written quotations and negotiate pricing and agreements with subcontractors, suppliers, and vendors.
- Assess materials and suppliers for cost-effectiveness, quality, reliability, and suitability.
- Prepare purchase orders for approved trades, vendors, and materials.
- Identify potential project risks, cost exposures, and scheduling challenges.
- Recommend practical mitigation strategies to reduce disruptions and cost overruns.
- Maintain organized estimating and project documentation, including proposals, correspondence, contracts, purchase orders, and change orders.
- Monitor market conditions, industry pricing, construction methods, and emerging technologies.
- Identify cost-saving opportunities without compromising workmanship, safety, or the client experience.
- Oversee the municipal permit-application process.
- Analyze actual project costs and apply findings to future estimates and budgets.
- Facilitate a complete and organized handoff from estimating and design to the project-management team.
- Meet established key performance indicators for estimating accuracy, responsiveness, and departmental performance.
Project Assistance
- Help project managers develop and maintain coordinated project schedules.
- Assist with the procurement of subcontractors and trades.
- Support the procurement of materials, equipment, and supplies.
- Maintain accurate purchasing and delivery records.
- Provide administrative support for project documentation and change-order processing.
- Monitor project budgets and expenses, report discrepancies, and assist with cost-control efforts.
- Help ensure information, approvals, materials, and resources are available when needed.
Asset Management
In collaboration with the Office Manager:
- Maintain accurate records for company assets, including computers, phones, software licences, vehicles, trailers, and equipment.
- Track the location, assigned users, condition, and applicable agreements for company assets.
- Help oversee vehicles, trailers, and equipment valued above $5,000.
- Track maintenance, damage, repairs, budgets, licensing, insurance, and regulatory requirements.
- Maintain organized records of warranties, service agreements, maintenance histories, and rental contracts.
- Inspect or coordinate assessments of asset condition and recommend repairs or replacements.
- Help develop and monitor budgets for asset maintenance, repairs, rentals, and acquisitions.
- Negotiate, establish, and monitor asset-rental and usage agreements.
- Support measures that protect company assets against theft, damage, and unauthorized use.
General Responsibilities
- Collaborate with team members and provide support where needed.
- Direct potential leads for new work to Bay Point Contracting's sales team.
- Uphold and strengthen the company's reputation through professional communication and accurate work.
- Help ensure Bay Point Contracting's customers receive an organized, responsive, and professional experience.
Requirements
- Strong construction-estimating, budgeting, and financial-analysis skills.
- In-depth understanding of construction materials, methods, labour requirements, building codes, and project execution.
- Ability to read and interpret architectural drawings, construction documents, specifications, and scopes of work.
- Knowledge of the Ontario Building Code and applicable construction requirements.
- Ability to prepare accurate estimates, budgets, proposals, schedules, contracts, and change orders.
- Strong analytical and problem-solving skills.
- Excellent organization and document-management abilities.
- Ability to identify risks, evaluate alternatives, and recommend cost-effective solutions.
- Strong communication skills for working with clients, project managers, subcontractors, suppliers, and municipal authorities.
- Ability to manage multiple estimates, deadlines, projects, and competing priorities.
- Strong attention to detail and commitment to accuracy.
- Ability to work independently while collaborating effectively with a team.
- Excellent business-level written and verbal English communication skills.
- Commitment to project quality, customer service, regulatory compliance, and workplace safety.
Qualifications
- Postsecondary diploma or designation from a Canadian-accredited program in construction estimating, architectural technology, architectural technician studies, or another closely related discipline.
- Minimum of two years of construction-estimating experience.
- More than five years of hands-on residential or commercial construction and renovation experience is considered a strong asset.
- Proficiency with Microsoft Office, Microsoft Project, PlanSwift, and related estimating or project-management software.
- Minimum keyboarding speed of 45 words per minute.
- Experience with project scheduling, procurement, cost tracking, permit administration, or asset management is an asset.
