Our Corporate office is seeking a highly organized, detail-oriented and proactive Administrative Assistant to provide support to both our Human Resources and Corporate & Legal Services teams.

Position Overview
Reporting to the General Counsel, the Administrative Assistant will support daily administrative functions, coordinate projects, maintain confidential records and assist with a range of human resources, corporate, legal, governance and compliance initiatives.
Key Responsibilities | Human Resources Support
- Assist with recruitment activities, including posting positions, coordinating interviews and preparing candidate correspondence.
- Support employee onboarding and offboarding processes.
- Maintain employee files and human resources records in accordance with privacy and record-retention requirements.
- Prepare employment letters, offer letters, employment agreements and other human resources documentation.
- Coordinate training programs, employee events and recognition initiatives.
- Support human resources reporting, data entry, policy administration and document management.
- Coordinate confidential employee documentation and correspondence.
- Assist with employment-related projects and initiatives as assigned.
Key Responsibilities | Corporate & Legal Services Support
- Assist with the administration and maintenance of corporate records, minute books and governance documents.
- Coordinate the execution of legal documents, resolutions and corporate filings.
- Maintain legal databases, matter tracking systems and contract repositories.
- Organize and track contracts, leases, legal correspondence and regulatory filings.
- Assist with due diligence activities related to acquisitions and corporate transactions.
- Support the preparation and distribution of board, committee and governance materials.
- Conduct basic corporate and legal research and prepare summaries or reports.
- Liaise with external counsel, regulatory advisors and business unit contacts as directed.
General Administrative Responsibilities
- Manage calendars, meetings and scheduling for team members.
- Prepare and format presentations, reports, spreadsheets and correspondence.
- Coordinate travel arrangements, accommodations and expense submissions.
- Organize electronic and physical filing systems and support records management and document retention programs.
- Coordinate couriers, incoming correspondence and document distribution.
- Assist with special projects and departmental initiatives.
- Maintain a high level of confidentiality with all employee, legal and corporate information.
Qualifications
Required
- Certificate in Business Administration, Office Administration, Human Resources, Legal Administration or a related discipline.
- 3 to 5 years of administrative experience supporting professional teams.
- Advanced proficiency in Microsoft Office, including Word, Excel,
Outlook and PowerPoint.
- Strong organizational, time-management and multitasking skills.
- Excellent written and verbal communication abilities.
- Exceptional attention to detail and accuracy.
- Ability to manage confidential and sensitive information with discretion.
- Strong interpersonal skills and a collaborative approach.
Preferred
- Experience supporting Human Resources, Legal, Corporate Governance or Executive teams.
- Familiarity with corporate records, employment documentation or legal administration.
- Experience working in a public company, corporate office or professional services environment.
- Exposure to document management systems, board portals or legal matter management software.
