Manager, Admissions and Enrollment, Undergraduate Medical Education (UGME)
The School of Medicine, established in 1965 and renamed the Michael G. DeGroote School of Medicine in 2004, offers major programs in undergraduate, postgraduate and graduate medical education. The clinical programs use not only the teaching hospital and ambulatory care and research facilities at the McMaster University Medical Centre division of Hamilton Health Sciences, but also the clinical teaching units at several of the major Hamilton hospitals and community health-care centres.
The three-year program in Medicine uses a problem-based approach to learning that should apply throughout the physician’s career. The components have been organized in sequential blocks with early exposure to patients and case management. Since 2000, undergraduate enrolment at McMaster has more than doubled to over 600 medical students. Of the current intake of 220 first year medical students, 32 are admitted at each of the Niagara and Waterloo Regional Campuses and 156 in Hamilton. 3 are MD/PhD students.
McMaster has one of the largest Distributed Medical Education (DME) networks in Canada. Working with our partner institutions, including Ontario’s other medical schools, McMaster’s DME network is improving access to physician and health care services in areas of Ontario previously without physicians, helping provide health care to complex populations, and offering unique medical education opportunities in communities such as Six Nations.

New Leadership Opportunity
The Michael G. DeGroote School of Medicine is seeking a Manager, Admissions and Enrollment, Undergraduate Medical Education (UGME) who will be responsible for the development and implementation and oversight of all aspects of the admissions process for students admitted to all three campuses (Hamilton, Niagara, Waterloo) and to the MD/PhD Program. The Manager, Admissions and Enrollment, UGME is accountable to the Program Manager, UGME and works closely with the Chair, MD Admissions and other faculty leads .
Core Accountabilities:
In a cooperative team environment, which embraces the values of integrity, teamwork, and inclusivity, the Manager, Admissions and Enrollment, UGME will serve as a leader and is accountable for the following:
- Leads the strategic planning for UGME admissions and presents recommendations to the Program Manager and Associate Dean, with a focus on optimizing the delivery of the admissions program and ensuring adherence to the accreditation standards.
- Drives – in concert with the admissions team – the implementation of the admissions strategy to ensures alignment with the strategic vision of the Program, the Faculty of Health Sciences, and the University.
- Performs critical analyses of the program’s admissions processes and outcomes as they relate to planning, resourcing, university mission/strategy and agreements with Ontario-wide admissions partners.
- Initiates, develops, and manages relationships with external partners and community practices to increase admissions participation from faculty, community, medical residents, and students, particularly from those associated with our equity streams.
- Participates in the creation and development of special applicant streams and sits on committees in several areas within the faculty, within the broader University, external agencies, and Ontario-wide partners.
- Manages and addresses admissions issues and inquiries, including challenging cases that may involve legal matters, for applicants who are not successful, collaborating with appropriate internal and external stakeholders.
- Develops and delivers comprehensive in-person and virtual information sessions, in collaboration with the admissions team and current MD and MD/PhD students, for prospective applicants.
- Ensures external communications around admissions (including website and social media posts) are accurate, appropriate, and timely working collaboratively with the UGME Communications Coordinator.
- Development of operational oversight across all areas of admissions for all three campuses ensuring that all applicants (approx. 5800/year) receive a fair and equitable opportunity to be considered for admission.
- Provides day-to-day leadership and direction to the admissions team, who is responsible for communications with potential applicants, applicants, interviewees and incoming students.
- Development and operational oversight of multiple admissions streams including the MD/PhD program, the Black Equity Stream (BESt), the Facilitated Indigenous Admissions Process (FIAP), the Disability Consideration Stream, and the Military Medical Training Program (MMTP).
- Oversight of the agenda and running of the MD Admissions Committee, ensuring recruitment of new members as terms expire and follow up on key take-away items including motions which are escalated to higher committees.
- Manages the financial resources for Admissions operations and leadership within the UGME program, including monitoring and adjusting the admissions budgets as required.
- Manages the resources and supporting admissions and enrolment activities within the program and is heavily involved in planning, advising and development of processes to ensure equity of delivery and applicant experience.
- Participates in program accreditation processes (IQAP, CACMS).
- Manages, supervises and identifies all direct reports through recruitment, hiring, orientation, work assignment, conflict management, performance management, training, and development, attendance etc.
- Manages, with the Program Manager, the enrolment and registration of UGME students through the MD program directly, and indirectly through the liaison and supervision of tasks and tracking completed by other UGME support staff.
- Oversees, with the Program Manager, the verification of enrolment forms as requested by current and past students.
- Oversees, with the Program Manager, the completion and submission of enrolment reports as required by internal and external bodies (e.g. AFMC, MCC, NBME, USLME, etc.).
Are you the right candidate?
This role requires a minimum of 5+ years of relevant experience with exposure to managerial, human resources and financial support as well as a minimum of 2 years of supervisory experience.
The ideal candidate will hold a university degree, community college diploma in an administrative field or equivalent as well as the following qualifications:
- Ability to engage effectively with a diverse pool of applicants, learners, staff, and faculty.
- Excellent interpersonal/relationship building skills, professional
presentation, and ability to gain trust and credibility quickly with a variety of groups who intersect within UGME.
- Previous work experience within a unionized staff environment is an
asset.
- Must have strong time management skills, the ability to multitask and balance competing demands while adhering to timely processes and deadlines.
- Demonstrated ability to work under pressure and thrive in a fast-paced environment, balancing competing deliverables and priorities.
- Resilience to deal with emotionally charged or difficult situations with applicants, learners, administration, faculty, and staff members (over multiple sites).
- Demonstrated ability to work independently and ability to work flexible hours.
- Broad understanding of the medical education admissions process at McMaster and within Ontario and Canada.
