Location: We are seeking a Part Time experienced Food and Beverage Office Coordinator for our Vancouver Convention Centre operation in Vancouver, BC.
Compensation: $25.00 - $27.00 per hour.
Sodexo Live! is the Official Supplier of Food and Beverage Services to the Vancouver Convention Centre. Located on Vancouver’s waterfront with a dramatic mountain backdrop, the award-winning Vancouver Convention Centre offers one of the most beautiful settings in the world. As British Columbia’s flagship convention centre, the facility hosts more than 500 events and welcomes hundreds of thousands of attendees each year, while generating significant economic activity for the Province.
Principal Function:
The Food and Beverage Office Coordinator is responsible for coordinating and executing administrative processes with a large focus on the overall efficiency of all areas of the Food and Beverage Operations Department.
This position is the face of the department and will serve as an information resource, will maintain office records such as producing an accurate daily employee list, maintaining up-to-date employee contact information, preparing food item labels for events, answering all inquiries related to employee communications and other department requests, liaise with temporary agency representatives and will perform general clerical duties such as answering phones,
ordering office stationary and audit invoice reports. They are responsible to uphold Sodexo Live!’s standards for accuracy, efficiency, and quality, as they relate to administrative functions.
Essential Responsibilities:
- Maximize Sodexo Live!’s revenue and operational excellence through execution of systems and policies related to administrative operations.
- Collaborate with the managers and supervisors to ensure appropriate staffing levels for events, keeping them informed of any schedule changes.
- Confirm and document employee attendance, absences and requests.
- Update bulletin boards, send memos and organize and participate in staff meetings to facilitate effective exchange of information throughout the entire office.
- Inform relevant departments of schedules to resource uniforms and meal breaks.
- Keep a record of all calls, including calls to increase staffing or to change or cancel shifts that were previously scheduled and confirmed.
- Assist with onboarding of new employees in coordination with HR and department managers.
- Contribute to the goal of making Sodexo Live! #1 in Event Hospitality and the #1 Employer of Choice through personal commitment and leading by example.
- Perform other related duties, tasks and responsibilities as required.
Qualifications/Skills:
- Administration, Hospitality or Hotel Management diploma or degree is preferred.
- 2+ years of previous administrative or office coordinator experience in a busy and changing environment.
- Experience in the Hospitality/Food and Beverage industry is preferred.
- Experience scheduling 20+ employees is required.
- Ability to work independently,
exercising appropriate skills for effective judgment, creative problem solving and taking initiative.
- Exceptional ability to communicate effectively both in verbal and written formats.
- Exceptional ability to provide a high level of customer service.
- Exceptional attention to detail and strong organizational skills are a must.
- Numbers orientation, with ability to accurately compute various mathematical equations.
- Exceptional computer skills, proficient with Microsoft Office Suite software.
- Proven ability to work effectively with all levels of staff and management; ability to promote and participate in team environment concepts.
- Self-starter who can work independently and on several tasks/projects simultaneously.
Other Requirements:
- Able to work effectively and safely while subject to wet floors, temperature extremes and excessive noise; must be able to lift up to 50 pounds in weight; must be able to manoeuvre in an often tightly-quartered environment.
Working hours to include weekends and holidays when required.
