Job Overview
Service & Parts Coordinator / Office Administrator
We are looking for an organized, reliable and motivated person to help coordinate the day-to-day office, customer service and administrative side of our operations.
This role supports both One Stop Sales & Service Inc., our truck equipment, parts and service business, and One Stop Tank Solutions Inc., our commercial trailer and tanker wash facility. You will also assist with coordination and dispatch for our snow and ice operations during winter events.
You will work directly with ownership and help keep customer communication, scheduling, billing, parts, inventory and day-to-day operations organized.
Responsibilities
- Answer incoming phone calls and assist customers with general inquiries
- Monitor and respond to customer and vendor emails
- Relay sales calls and take detailed messages for ownership and sales staff
- Book trucks and equipment into the service shop
- Schedule commercial trailers and tankers into the One Stop Tank Solutions wash bays
- Coordinate customer drop-offs, pick-ups and job updates
- Prepare invoices, receive payments and follow up on outstanding accounts
- Order parts and supplies from vendors
- Track parts ordered for customer jobs
- Receive, organize and maintain parts inventory
- Coordinate deliveries and freight
- Maintain customer, vendor and job records
- Assist with dispatching company trucks and coordinating drivers as required
- Help with snow and ice dispatch during winter storm events, including communicating with operators, coordinating routes and relaying job information
- Work directly with ownership on daily priorities, customer follow-up and administrative tasks
- Help make sure important calls, emails, jobs and customer requests are followed through to completion
What We Are Looking For
- Highly organized and able to manage multiple priorities
- Professional and comfortable dealing with customers by phone, email and in person
- Strong communication and attention to detail
- Comfortable working independently and taking initiative
- Dependable and punctual
- Comfortable using computers, email and office software
- Able to work in a busy workplace where priorities can change throughout the day
- Comfortable communicating with drivers, technicians, customers and vendors
- Willing to assist outside regular hours when required during snow and ice events
Experience in a service writer, parts, automotive, heavy truck, heavy equipment, dealership, dispatch, inventory, scheduling or accounts receivable role would be a strong asset.
Experience with QuickBooks Online would also be an asset.
Mechanical knowledge is not required, but familiarity with trucks, equipment or parts would be beneficial.
About the Position
This is a hands-on role for someone who enjoys keeping things organized and making sure nothing falls through the cracks.
You will work closely with ownership, technicians, drivers, customers and vendors and will play an important role in keeping our operations running efficiently.
During the winter, this position will also help support our snow and ice division during storm events. This may occasionally require availability outside normal business hours depending on weather conditions.
There is room for the position to grow into additional responsibility in service coordination, purchasing, inventory, dispatch and office operations.
Job Type: Full-time
Schedule: Monday to Friday, with occasional additional availability required during winter snow events
Work Location: In person
Pay: $55,000.00-$65,000.00 per year
