POSITION SUMMARY:

The Human Resources Coordinator will focus on full cycle recruitment, onboard/offboard all employees, complete all administrative tasks and payroll administration. The successful candidate will demonstrate organization, a strong attention to detail, communicate well with all levels within the organization and solve problems on their own.

ABOUT THE ROLE:

Reporting to the Director, Human Resources, this position will focus on full-cycle recruitment, onboarding and offboarding all employees, completing all administrative tasks, and supporting basic payroll administration. The successful candidate will demonstrate strong organization, attention to detail, the ability to communicate well with all levels of the organization, and the confidence to solve problems independently. This is a hands-on,



high-volume role in a fast-paced food distribution environment supporting multi sites — ideal for someone early in their HR career who wants to build broad generalist skills supporting both the companies.

KEY RESPONSIBILITIES:

Full-Cycle Recruitment

- Post jobs, screen resumes, pre-screen candidates, complete reference checks, and coordinate and schedule interviews
- Answer all incoming calls and emails directed to the Human Resources department

Onboarding & Offboarding

- Onboard and offboard employees appropriately and in a timely manner
- Set up new employees in ADP Workforce Now, the benefits program, and the punch clock system
- Prepare letters, employment contracts, and all required onboarding documentation

HR Administration

- Maintain employee files with all required information, kept accurate and in an orderly fashion
- Prepare employment verification letters and other standard HR correspondence
- Track and maintain daily attendance of all staff
- Compile data for various HR reports
- Utilize HR technology and digital tools to maintain accurate records and improve administrative efficiency
- Support HR initiatives focused on improving organizational effectiveness
- Executes HR admin processes with accuracy and speed

Payroll Administration

- Prepare and track bi-weekly payroll changes with appropriate reasoning and supporting documentation
- Add new employees into the payroll system and process employee data changes accurately
- Coordinate timesheet collection and follow up on discrepancies with managers

Employee Experience & Compliance

- Act as a first point of contact for routine employee inquiries related to policies, and HR processes
- Support benefits administration: enrollment
- Assist with JHSC documentation: health and safety board maintenance
- Maintain HR filing systems in compliance with privacy and records retention requirements





QUALIFICATIONS:

- College Diploma or Bachelor's Degree in Human Resources, Business Administration, or a related field
- Minimum 2 years of experience as an HR Coordinator, recruitment, or in an administrative role
- High level of familiarity with Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, Teams)
- Experience with ADP Workforce Now is an asset
- Technologically savvy — comfortable navigating HRIS platforms and digital tools; quick to learn new software
- Strong written and verbal communication skills
- Demonstrate strong organizational skills and attention to detail
- Able to take on multiple tasks and work with a sense of urgency
- Ability to handle sensitive and confidential information with discretion
- Must be legally eligible to work in Canada
- Actively working towards a CHRP/CHRL designation is an asset
- Available to work on-site Monday – Friday, 8:00AM–4:30PM

- Compensation: $50,000 - $55,000 commensurate with experience
