Job Description

Responsible for providing planning, reporting, research, coordination and implementation support to the Director of Corporate Services – Chief Financial Officer and other organizational leaders, as assigned and prioritized by the Director. The position supports strategic plan reporting, assigned organizational initiatives, policy and process work, and the preparation of concise briefing and decision-support materials.

The position does not have direct supervisory responsibilities but works collaboratively with all areas of the organization to improve coordination, reduce administrative and reporting burden, and help ensure approved work is completed in a timely, practical and proportionate manner.

Key Responsibilities

Strategic Plan Tracking and Reporting:

- Support the tracking and reporting of approved strategic plan deliverables through maintaining tools, schedules and other reporting processes to track progress.
- Prepare concise updates, dashboards, briefing notes and reports for review by the Director of Corporate Services – Chief Financial Officer, Registrar and CEO, Council or senior leadership as required.
- Identify gaps, risks, delays or required follow-up related to approved initiatives and escalate them through the Director.
- Act as a support to leaders and staff in tracking and documenting of progress and outcomes without assuming ownership of departmental priorities.

Project Coordination and Implementation Support:

- Coordinate assigned organizational initiatives by preparing practical workplans, timelines, action logs, status updates and follow-up materials.
- Clarify next steps, document decisions, track deadlines and support implementation.
- Ensure coordination and reporting are proportionate to the decision, risk, complexity and resources involved.
- Assist with office-wide initiatives, technology or process improvement work in collaboration with the appropriate subject matter lead.
- Request information, coordinate timelines and follow up on approved project tasks through the appropriate manager or subject matter lead
- Escalates concerns, barriers or scope changes to the Director for direction.

Council, Corporate and Operational Reporting Support:

- Prepare and organize draft materials for Council, committees,



executive and senior leadership reporting as assigned and prioritized by the Director of Corporate Services – Chief Financial Officer.
- Draft briefing notes, summaries, decision-support materials and reports that are clear, concise and decision-focused for review, revision and approval by the Director of Corporate Services – Chief Financial Officer, Registrar and CEO or other leaders.
- Support the Director of Corporate Services – Chief Financial Officer and Registrar and CEO by compiling information, tracking commitments and preparing materials for review and approval.
- Ensure reporting products reduce workload and support decision-making rather than creating unnecessary complexity.

Research, Policy and Process Support:

- Conduct research, jurisdictional scans and background analysis to support assigned policy, operational and organizational projects.
- Draft or revise policies, procedures, reports and briefing materials for review by the appropriate subject matter lead.
- Support implementation of approved policies and processes by preparing tracking tools, implementation plans, checklists and related support materials.

- Conducts relevant research and analysis to support assigned work.
- Provides practical recommendations that are proportionate to the issue, risk and decision required.

- Coordinates information and follow-up through appropriate reporting relationships and approval channels.

Professionalism, Confidentiality and Accountability:

- Maintains confidentiality and exercises discretion with sensitive information.
- Demonstrates sound judgment, accountability and respect for organizational authority and decision-making.

Position Requirements

- Post-secondary education in a relevant field, such as business administration, public administration, or a related discipline; an equivalent combination of education and experience may be considered. An MBA or related graduate-level education is considered an asset.
- Minimum five years of related experience in planning, reporting, policy or process support, implementation coordination, public administration or non-profit administration.
- Experience leading/managing projects. Project management designation or certification considered an asset.
- Strong writing skills, with the ability to prepare concise briefing notes, reports, project updates and decision-support materials.
- Strong organizational skills, including the ability to track deliverables, manage timelines, coordinate follow-up and support implementation.
- Ability to conduct practical research and analysis and translate findings into helpful recommendations.
- Ability to work collaboratively across the organization while respecting reporting relationships and decision-making authority.
- Sound judgment, discretion and ability to manage scope, maintain confidentiality and escalate issues appropriately.
- Proficiency with Microsoft 365, including Word, Excel, PowerPoint, TEAMs and SharePoint.
