Customer Service Representative / Order Entry
Job Summary
We are a manufacturing supplier seeking a detail-oriented and highly organized Customer Service Representative / Order Entry Specialist to join our team.
This role has a strong focus on data entry, order processing, and maintaining accurate customer and order information within our ERP system. The ideal candidate is comfortable working with a high volume of information, has excellent attention to detail, and can accurately enter, review, and update customer orders in a fast-paced manufacturing environment.
In addition to data entry and order management, this position communicates regularly with customers, sales, production, purchasing, and shipping teams to ensure orders are processed accurately and customers receive a high standard of service.
Key Responsibilities
- Accurately enter customer purchase orders into the ERP/order management system
- Review all order information for accuracy, completeness, pricing, quantities, product details, and shipping requirements
- Enter, update, and maintain customer information within the database and ERP system
- Process changes and modifications to existing customer orders accurately and efficiently
- Enter and prepare customer quotes and other sales-related information
- Answer incoming customer calls and emails regarding order status, ship dates, pricing, product information, and general inquiries
- Process incoming customer purchase orders and ensure all required information is captured
- Review daily order reports and follow up on outstanding or time-sensitive orders
- Coordinate with production, purchasing,
and shipping teams regarding order status and delivery timelines
- Attend daily production meetings to remain informed of manufacturing, purchasing, inventory, and shipping updates
- Communicate with the sales team regarding customer requirements, order changes, and special requests
- Assist walk-in customers with order placement and process COD payments
- Contact customers to coordinate pickup or delivery of completed materials
- Invoice shipped goods daily and ensure information is accurately recorded
- Initiate the Customer Complaint process and assist with managing customer expectations through resolution
- Process credit card transactions and complete nightly reconciliation procedures
- Support the outside sales team by entering customer quotes, updating information, and maintaining accurate records
- Collaborate with internal departments to remain current on products, services, pricing, policies, and customer requirements
- Maintain professional, friendly, and solution-focused communication with customers
- Perform other administrative, customer service, and data entry duties as required
Qualifications & Skills
- 2+ years of data entry and order entry experience required
- 2+ years of customer service experience required
- 2+ years of experience working in a manufacturing environment preferred
- Previous experience entering and processing customer purchase orders strongly preferred
- Experience using ERP, order entry, inventory, or database management software required
- Strong computer skills and proficiency with Microsoft Office, including Outlook, Word, and Excel
- Ability to enter large volumes of information quickly and accurately
- Exceptional attention to detail and commitment to data accuracy
- Strong organizational and time-management skills
- Ability to manage multiple orders, priorities, and deadlines simultaneously
- Strong verbal and written communication skills
- Ability to work effectively with customers and cross-functional internal teams
- Comfortable working in a rapid-paced manufacturing setting
- College diploma preferred
- Proficiency in English required
- Bilingual English/French considered an asset
Job Types: Full-time, Permanent
Pay: $43,000.00-$55,000.00 per year
