Customer Service and Bookkeeping Assistant August 2026

Orca Book Publishers is an independent Canadian children’s book publisher and distributor, based in Victoria, BC. We publish 85 new titles a year and distribute books from a number of other Canadian publishers throughout North America.

We are looking for a customer service and bookkeeping assistant to join our Victoria office. This is a varied, hands-on position for someone who is comfortable working with customers and numbers and and who enjoys solving problems.

The position combines bookkeeping and accounting support with customer service, reception and general office duties. It is an in-office position, Monday to Friday, approximately five hours per day.

The ideal candidate will have a professional and friendly personality with a broad-based skill set with experience in bookkeeping and customer service.

Key Responsibilities

Bookkeeping and Accounting Support

· New customer credit checks, working with sales reps and accounts receivable staff.

· Assist with Accounts Payable (AP) and Accounts Receivable (AR) processes.

· reconcile company credit card transactions.

· Assist with GST and PST filing.

· AP and Royalties cheque mailouts.

· Contract folder filing and title changes.

· Provide support during year-end.

· Other bookkeeping and accounting tasks as needed.

General Customer Service

- Provide friendly, professional customer service to bookstores, libraries and other customers.
- Respond to customer inquiries by phone and email and work toward positive solutions.
- Coordinate with our warehouses and other Orca staff to resolve customer issues.
- Provide backup support for customer service, order entry and accounting staff when needed.
- Digitizing purchase order paperwork in a timely manner once orders are shipped, to capture notes and a reference for accounts receivable and to research should problems occur

General Office Administration

- Keeping a tidy front desk and reception area, opening mail, managing incoming and outgoing deliveries, refreshing book and award displays




- Ordering office supplies and keeping supply room tidy
- Other administrative tasks as needed

Required skills include:

· Previous bookkeeping, accounting or related experience.

· Familiarity with accounts payable, accounts receivable and basic accounting processes

· Problem solving mindset and a level-headed approach to customer service.

· Ability to multi-task and adapt to a quickly changing environment.

· Word, Excel and other general office software as well as general comfort with current technology.

· Comfort with working with numbers and attention to detail.

· Excellent communication (verbal and written) and interpersonal skills.

- Strong organizational, analytical skills.
- A calm, practical approach to problem solving.
- Ability to work independently and as part of a team.

Terms:

· Permanent, part-time position.

· 25 hours per week.

· Monday to Friday.

· In-office position.

· $21.50/hour to start.
