POSITION OVERVIEW

In the position of HR Coordinator you will make a difference every single day as you provide day to day HR and Health & Safety support at the site level. The role is responsible for coordinating HR processes, maintaining employee records, supporting recruitment and onboarding activities, administering training programs, and assisting with health and safety initiatives. The HR Coordinator serves as the primary onsite HR contact while partnering closely with the HR Manager to ensure compliance with employment legislation, company policies, and safety program requirements.

$65,000/Salary

EDUCATION, EXPERIENCE AND SKILLS

· Diploma or degree in Human Resources, Business Administration, or a related field.

· CHRP designation or actively working toward designation considered an asset.

· Minimum 2 years of Human Resources experience, preferably within a manufacturing or food production environment.

· Experience supporting Health & Safety programs and initiatives considered an asset.

· Working knowledge of Employment Standards legislation, Human Rights legislation, Occupational Health and Safety legislation,



and related employment regulations.

· Experience with incident reporting and workplace investigations.

· Proficiency with Microsoft 365 applications including Excel, Word, PowerPoint, and Outlook.

· Experience using HRIS and payroll systems.

· Strong organizational and time-management skills with the ability to manage multiple priorities.

· Excellent verbal and written communication skills.

· Strong interpersonal skills with the ability to work effectively with employees at all levels.

· High level of professionalism, confidentiality, and discretion.

· Ability to work independently and collaboratively in a fast-paced environment.

RESPONSIBILITIES

HR Support and Employee Relations

- Serve as the primary onsite HR contact for employees and supervisors.
- Provide HR information and guidance regarding company policies, procedures, benefits, and employment related matters.
- Escalate complex employee relations concerns, investigations, and policy matters to the HR Manager as required.
- Support leave management processes, including tracking documentation and maintaining confidential records.
- Assist with corrective action, attendance management, and employee meetings as required.
- Schedule and coordinate employee and leadership meetings related to HR, training, and Health & Safety initiatives.
- Conduct employee stay interviews and communicate trends and opportunities for improvement to the HR Manager.
- Assist in the communication and implementation of HR programs, policies, and procedural updates.
- Build and maintain positive working relationships with employees and leaders at all levels.

HR Administration, Reporting, Benefits and Payroll Support

- Maintain employee files, HRIS records, and related documentation in accordance with company standards and legislative requirements.
- Prepare and maintain reports related to employee demographics, attendance, training, injuries, turnover, and other HR metrics.
- Coordinate employee benefit enrollments, changes, and inquiries.
- Work closely with Payroll and site leadership to ensure employee information and timekeeping records are accurate.
- Act as a liaison between employees and Payroll regarding payroll related inquiries.
- Prepare employment letters, verification requests, and other employment-related documentation as required.
- Maintain confidentiality and accuracy of all employee records and information.

Recruitment, Onboarding and Offboarding

- Coordinate recruitment activities including job postings, resume screening, interview scheduling, plant tours, reference checks, and offer preparation.
- Prepare employment agreements and new hire documentation.
- Complete and submit all new hire, transfer, and employment status change paperwork.
- Coordinate and facilitate new employee orientation and onboarding activities.
- Support employee training and integration during the onboarding process.
- Participate in employee offboarding activities,



including exit interviews and separation documentation.
- Coordinate employee status changes and termination paperwork as directed.

Training and Development

- Coordinate employee training programs and maintain training records.
- Ensure required training is completed and tracked according to company policies and legislative requirements.
- Maintain training matrices and employee certification records.
- Champion and administer the company's learning management system and training platforms.
- Schedule and coordinate training sessions with internal and external providers.
- Assist with administration of the performance review process by monitoring review schedules, tracking completion, and maintaining documentation.
- Support employee development initiatives and training programs as directed by the HR Manager.

Health and Safety

- Coordinate and support day to day Health & Safety activities for the facility.
- Maintain Health & Safety documentation, records, training files, and legislative postings.
- Coordinate Joint Health and Safety Committee meetings, minutes, and action item follow-up.
- Assist with incident reporting, investigations, corrective actions, and return to work processes.
- Coordinate workplace inspections and support hazard identification and corrective action activities.
- Monitor Health & Safety training requirements and ensure employee certifications remain current.
- Promote a positive safety culture through employee engagement, communication, and training initiatives.
- Support compliance with Occupational Health & Safety legislation and company Health & Safety programs.

Compliance and Audit Support

- Assist the HR Manager with compliance initiatives and regulatory requirements.
- Maintain documentation and records required for audits and compliance reviews.
- Assist with audit preparation and follow-up activities for programs including SMETA and COR.
- Track corrective actions and provide administrative support to ensure completion of audit related requirements.
- Escalate compliance concerns or identified risks to the HR Manager.

Administrative Responsibilities

- Process HR related paperwork and maintain confidential electronic and paper files.
- Coordinate anniversary increases, vacation entitlements, and employee recognition activities as directed.
- Create forms, reports, notifications, and employee communications.
- Assist with revisions to HR, training, and Health & Safety documentation.
- Coordinate employee engagement activities and company events.
- Support special projects as assigned.
- Perform other duties as assigned by the HR Manager and/or Plant Manager.
