Position Overview

The Virtual Inputter supports dispensaries across the Boggio Family of Pharmacies by entering and processing prescription orders from an approved remote location. Working an assigned input queue, the Virtual Inputter enters prescriptions accurately into Kroll/PropelRx, adjudicates third-party claims, resolves billing rejections, and maintains complete patient profiles, freeing on-site teams to focus on patient-facing service, clinical review, and dispensing.

All prescriptions entered remain subject to review and release by a pharmacist at the dispensing location. This role does not perform the technical or clinical check and does not provide advice on drug therapy.

Key Responsibilities

Prescription Entry & Accuracy

- Enter new and refill prescription orders into Kroll/PropelRx for assigned locations, working the input queue in order of priority and promised pick-up time
- Verify patient identity against the profile at the point of entry: full name, date of birth, address, and phone number
- Confirm drug, strength, dosage form, directions, quantity, days’ supply, prescriber, and refill authorization against the source prescription image or fax
- Confirm correct pack size and on-hand quantity at the dispensing location; flag shortages and out-of-stock items to the store team
- Flag all system-generated interaction, duplicate therapy, allergy, and dose warnings to the pharmacist at the dispensing location — never override, bypass, or clear a clinical warning
- Apply auxiliary labels and special handling instructions as directed
- Maintain entry accuracy at or above the standard set by the Pharmacy Manager and participate in scheduled accuracy audits

Third-Party Billing & Adjudication

- Adjudicate claims to primary, secondary, and tertiary plans, sequencing coordination of perks correctly
- Resolve rejections relating to coverage, DIN, quantity and days’ supply limits, cardholder data, and relationship codes
- Contact insurers and plan administrators to resolve billing issues; document the outcome in the patient profile and note it clearly for the store team
- Escalate claims requiring a Limited Use code, Exceptional Access request, prior authorization, or clinical intervention to the pharmacist

Patient Profile Management





- Create and maintain complete, accurate patient records including allergies, current medications, drug cards and plan details, preferred brands, prescriber records, and communication preferences
- Confirm valid identification is recorded on file for narcotic and controlled substance profiles; notify the dispensing location when identification is absent and do not process without direction
- Comply with the company’s Confidentiality Agreement at all times

Queue, Workflow & Multi-Site Coordination

- Monitor the input queue across assigned locations and prioritise by promised time, waiting patients, and urgency
- Communicate turnaround expectations to assigned locations and flag developing backlog to the Pharmacy Manager before it affects patient wait times
- At end of shift, hand over outstanding orders with clear notes on status, and confirm nothing is left mid-entry

Escalation & Scope of Role

Refer the following to the pharmacist or team lead at the dispensing location without exception:

- All clinical questions, including therapeutic substitutions and dose changes
- Compliance package changes, medication changes, and package intakes
- Methadone and suboxone orders of any kind
- Any prescription where the prescriber’s intent is unclear or the source document is illegible or incomplete

The Virtual Inputter does not:

- Perform the technical or clinical check, or release product
- Counsel patients or provide any advice on drug therapy
- Contact patients directly unless expressly authorised; patient communication is routed through the dispensing location by default

Privacy, Security & Remote Work Standards

- Work only from the approved remote location, using company-issued equipment and the approved secure connection
- Maintain a private, enclosed workspace where screens, conversations, and documents cannot be seen or overheard by any other person, including household members
- Lock the workstation whenever it is unattended and never leave patient information displayed
- Do not print, photograph, screen-capture, download, store, or forward patient health information; do not use personal devices, personal email, or personal cloud storage, or speakerphone, for any work purpose




- Complete PHIPA training and comply with all privacy policies; report any actual or suspected privacy breach to the Privacy Officer immediately
- Permit reasonable review of the remote work environment and equipment as required

Qualifications & Skills

Education & Experience

- Pharmacy Assistant/Technician program diploma and/or 2+ years of prescription entry experience in a community pharmacy
- Demonstrated proficiency in Kroll/PropelRx (required)
- Solid working knowledge of third-party adjudication, ODB, and coordination of perks
- Current knowledge of pharmacy regulations, drug nomenclature, and dispensary best practices

Remote Work Requirements

- Private, dedicated workspace at the approved remote location that can be secured against observation
- Reliable high-speed internet meeting the minimum specification set by IT
- Availability to attend on-site at [Location] for initial training, periodic meetings, and performance review

Working Conditions

- Remote position with scheduled shifts, which may include evenings and weekends according to dispensary hours; extended periods of seated computer work with sustained visual concentration and keyboard use
- The remote work arrangement is subject to ongoing business need and satisfactory performance, and may be amended or discontinued on reasonable notice
