Position Overview: We are seeking a skilled, organized and outgoing administrative professional to join our growing accounting firm as an Office Administrator. As the hub of our team, the Office Administrator is the life support to the firm’s partners as well as associates and other divisions.

Responsibilities include, but are not limited to:

· Administrative support: Manage multiple partner schedules, handle phone calls, emails and other correspondence from current and potential clients, other accounting firms, investment managers, lawyers, and Canada Revenue Agency.

· Corresponding with Canada Revenue Agency: Regularly call and correspond with Canada Revenue Agency to follow up on enquiries, gather and submit documents to support enquiries, and update client information. Assist with CRA review and audit response documentation as needed.

· Office management: Oversee the day-to-day operations of the office, ensuring it is well-organized, clean, and equipped with necessary supplies. Take charge of office maintenance and liaise with building management when required.

· Client interaction: First contact for all visitors to the office. Manage client emails and provide confidential information in a timely manner. Onboard all new clients. Obtain documents and send reminders to clients for deadlines.

· Scheduling: Monitor information received from clients and allocate the files to team members. Roll forward files for the team. Weekly follow ups with the team to ensure files are meeting the required deadlines and turnaround expectations.

· Event coordination: Along with the firm's Social Committee, assist in planning and coordinating all office events and activities, as well as partner retreat. Liaise with marketing and charitable organizations.

· Process documentation and implementation: Develop and maintain process manuals and videos on repeated tasks, and work alongside the team to build and refine the processes. Ensure processes are being followed by the team.

Qualifications and Skills:

· Education:



College certificate or equivalent; Certificate in Office Administration

· Experience: Minimum of 5 years administrative experience. Experience in an accounting firm or financial services is preferred.

· Communication: Excellent written and verbal communication skills, with the ability to communicate professionally and casually with clients and staff members.

· Computer Proficiency: Proficiency using office software such as Microsoft Office Suite (Word, Excel, Outlook and Teams) and the ability to learn new software systems, such as CaseWare, CCH iFirm, and TaxPrep.

· Detail-Oriented: Keen attention to detail to maintain accurate records and ensure the accuracy of administrative and financial tasks.

· Time Management: Effective time management skills to meet deadlines and handle time-sensitive accounting matters.

· Professionalism: Demonstrate a high level of professionalism, confidentiality, and discretion in handling sensitive information.

· Interpersonal Skills: Strong interpersonal skills to collaborate effectively with colleagues and contribute to a fun and caring environment. Provide excellent customer service to clients.

· Adaptability: Willingness to adapt to changing needs and take on new responsibilities as the accounting firm evolves.

Salary and benefits:

· Salary range: $45,000- $60,000

· Vacation: 3 weeks

· Benefits: Health Care Spending Account: $2,500

Pay: $45,000.00-$60,000.00 per year
