Job Summary

We are seeking an energetic, friendly, and detail-oriented Receptionist/Administrator to join our dynamic healthcare team. In this role, you will be the first point of contact for our patients and visitors, creating a welcoming and professional experience while supporting the smooth day-to-day operation of the clinic.

The ideal candidate will have strong communication and organizational skills, a positive attitude, and the ability to multitask effectively in a fast-paced healthcare environment. Previous administrative experience is preferred.

Responsibilities

- Greet patients and visitors in a warm, friendly, and professional manner.
- Answer incoming phone calls promptly and professionally using a multi-line phone system.
- Schedule, confirm, and reschedule patient appointments.
- Manage patient information and electronic medical records accurately and securely.
- Use EMR and clinic management systems, including Universal and WalnutEMR.
- Assist with patient check-in and check-out procedures.
- Verify and update patient information as required.
- Handle incoming emails, correspondence, and faxes efficiently.
- Communicate appointment information and general clinic information to patients.
- Maintain an organized and professional reception/front desk area.
- Support clinical staff with administrative and patient-related tasks.
- Maintain confidentiality and follow applicable healthcare privacy requirements.




- Assist with general administrative duties to support the efficient operation of the clinic.

Qualifications & Skills

- Previous experience in administration, reception, or a healthcare office is preferred.
- Previous experience working in a medical or healthcare setting is an asset.
- Experience with Universal and WalnutEMR is an asset.
- Solid verbal and written communication skills.
- Excellent customer service and interpersonal skills.
- Professional, friendly, and patient-focused approach.
- Strong organizational and time-management skills.
- Ability to multitask and prioritize responsibilities in a fast-paced environment.
- Strong attention to detail and accuracy when handling patient information.
- Ability to work independently as well as effectively within a team.
- Knowledge of medical terminology is an asset.
- Ability to maintain patient confidentiality and handle sensitive information professionally.
