Pedorthics in Motion is looking for a friendly, organized, and patient-focused Full-Time Medical Office Administratorto join our growing healthcare team and provide administrative support across our Oakville and Etobicoke clinics.

This is a multi-site position. The successful candidate must be able to reliably travel between our Oakville, Etobicoke General Hospital, and St. Joseph’s Health Centre locations based on clinic scheduling and operational needs. Reliable transportation and the ability to work at all three locations are requirements of this position.

We are a multidisciplinary practice with 7 locations across the Greater Toronto Area, working alongside more than 20 Orthopaedic Surgeons and Sports Medicine Physicians. Our team provides comprehensive lower-limb care, including custom orthotics, orthopaedic bracing, compression therapy, chiropody, wound care, and pre- and post-operative support.

Compensation

$18.00–$22.00 per hour, based on experience and qualifications.

About the Role

As a Medical Office Administrator, you will be one of the first points of contact for our patients and will play an key role in creating a welcoming, organized, and efficient patient experience.

This position involves supporting multiple clinicians and clinic locations, so we are looking for someone who is highly organized, adaptable, comfortable working independently,



and able to confidently manage competing priorities in a busy healthcare environment.

What You’ll Do

- Answer and manage incoming patient phone calls and inquiries
- Welcome patients and complete check-in and check-out procedures
- Schedule and coordinate appointments across multiple clinic locations
- Process payments and maintain accurate patient and billing records
- Receive, triage, and contact new patient referrals
- Send reports and clinical documentation to referring physicians
- Respond to online appointment requests and patient inquiries
- Communicate with physicians, healthcare providers, patients, and members of our clinical team
- Provide day-to-day administrative support to ensure clinics run efficiently

- Dependable, adaptable, and able to work across multiple clinic environments

Qualifications & Experience

- Previous administrative or customer service experience




- Previous experience in a medical office, physiotherapy clinic, or other healthcare setting is considered an asset
- Experience with medical scheduling, referrals, or insurance billing is considered an asset
- Experience with Jane App, QuickBooks, and Clover POS is considered an asset
- Strong computer skills and confidence learning new systems

Position: Full-Time Medical Office Administrator
Compensation: $18.00–$22.00 per hour
Locations: Oakville, Etobicoke General Hospital & St. Joseph’s Health Centre
Requirement: Reliable travel between all three clinic locations
