Job PurposeThe Sales Operations Specialist supports the Sales Operations and Field Sales teams through execution of core operational processes that enable order fulfillment, revenue tracking, and customer satisfaction. This role is responsible for maintaining accurate data, supporting sales activities, and ensuring efficient coordination across internal teams, customers, and vendors. The Specialist works under general guidance to manage day‑to‑day operations, resolve issues, and contribute to overall sales effectiveness.Essential Functions and ResponsibilitiesOrder Management & FulfillmentProcess and manage customer orders, including order entry, invoicing, and shipment coordinationCoordinate domestic and international shipments, ensuring compliance with customs requirementsTrack and manage back orders, resolving delays and communicating updates to stakeholdersSchedule manufacturer shipments and oversee inventory‑related freight logisticsInventory & Supply ManagementTrack current inventory levels and support inventory forecasting using internal systems and toolsReorder and replenish service and field inventory to meet operational needsMaintain demo system and lab inventory, including disposable and capital equipmentMonitor product lifecycle stages, including tracking end‑of‑life schedulesSales Support & EnablementProvide administrative and operational support to the Sales teamMaintain and update quote templates, product catalogs, and pricing within quoting systemsMaintain and update price lists to ensure accuracy and consistencyCoordinate demo systems, evaluation kits, and materials for customer demos, labs, and conferencesSupport new system installations through coordination and logisticsData Management & SystemsMaintain accurate customer, order, and product data within ERP and related systemsEnsure data integrity and consistency across sales operations platformsSupport reporting needs by maintaining organized and reliable datasetsFinancial & Revenue Tracking SupportTrack capital revenue and assist with reporting activitiesTrack and support administration of earnout programsAssist with invoicing processes and basic revenue‑related reportingReturns,
Contracts & Service SupportTrack and process warranty returns and replacementsMonitor service contracts and support renewal processingMaintain documentation and tracking for service‑related activitiesCross‑Functional CoordinationCoordinate shipments and logistics for R&D; prototypes and samples across internal locations and external partnersPartner with internal teams (Sales, R&D;, Operations) to ensure timely execution of operational needsSupport issue resolution related to orders, shipments, inventory, and customer requestsMinimum QualificationsEducation/Certifications:Bachelor’s degree OR High School diploma with 5+ years relevant Commercial Operations experienceExperience, Skills, Knowledge And/or Abilities:1‑2 years’ experience in Commercial Operations (Customer Service, Sales Operations, Sales Support, Marketing)Mastery of the English language and strong ability to effectively communicate verbally and through written correspondence with all levels of peers and leadership at SeaSpine, distributorships, hospitals, and other vendorsStrong proficiency with Microsoft Office, specifically Excel and WordDemonstrated ability to operate independently under minimal supervisor directionDemonstrated ability to work creatively, prioritize and smoothly manage goals and initiatives amidst competing prioritiesCritical thinker with strong attention to detail, and ability to problem solve and establish solutions in a high‑growth and quick‑pace environmentPreferred QualificationsEducation/Certifications:Bachelor’s degreeAdditional Experience, Skills, Knowledge And/or Abilities:Experience in Customer Service, Administration, or Sales OperationsExperience servicing healthcare providers and/or patientsExperience using CRM and/or ERP systems for order entry and case managementAdvanced MS Excel skills (lookups,
pivots, etc.)Experience in medical device or life sciences industryPhysical Requirements / Adverse Working ConditionsNo additional physical requirements or essential functions for this position.The anticipated salary for this position for an employee who is located in Ontario is $65,000 to $77,000 per year, plus bonus, and benefits.
