Expeditor II
Location: Calgary, AB or Houston, TX
Contract Duration: 12+ Months Contract - Possible Extension/Conversion
Pay Rate: Canada: $33–34/hr on T4
Job Description
We are seeking an Expeditor II to support the Supply Chain function by expediting and tracking equipment and materials required for Purchase Orders, Contracts and Projects.
The Expeditor will proactively track assigned items, work with vendors and internal stakeholders, monitor schedules and documentation, identify potential delays and support timely delivery of equipment and materials to site.
Responsibilities
- Support and manage assigned equipment/material to ensure on-time readiness and delivery to site in line with the project and construction schedule.
- Support and assist with the management of vendor equipment/material documentation between vendors, Engineering or Engineering Consultants and internal Project teams.
- Ensure required documentation is received completely, including approvals where applicable.
- Track documentation such as drawings, RFIs, Inspection Test Plans (ITP), Weld Procedure Specifications (WPS) and Final Vendor Data Requirements (VDR).
- Regularly review vendor fabrication schedules, Inspection and Test Plans, Inspection Reports and other relevant vendor and Purchase Order information to help mitigate delays.
- Notify key stakeholders of potential or actual delays and work with suppliers to resolve issues as required.
- Administrate, schedule, chair,
minute and manage vendor supply meetings and attend project meetings as required.
- Report equipment/material status, progress and receiving status to stakeholders using required reporting formats.
- Assist with the review and verification of invoices for accuracy as required.
- Work with vendors and stakeholders to resolve freight claims, quantity shortages/overages, shipment errors and tagging issues.
- Communicate potential commercial and technical issues to Project team members and stakeholders.
- Assist with logistics for delivery of equipment/material to site and coordinate with construction at site to ensure readiness and proper equipment is available for off-loading shipments as required.
- Coordinate activities and communicate regularly with key stakeholders.
- Follow standard processes to ensure expediting tasks and duties for assigned equipment/material are centralized as directed by the Team Lead or Manager.
- Maintain updated electronic records and organize expediting files for timely Purchase Order/Contract closeouts.
- Perform other duties as assigned.
Required Qualifications and Skills
- University degree in Supply Chain, Finance, Business, Economics or a related field, or 2–4 years of related field experience may be considered.
- Previous working knowledge and experience of expediting best practices.
- Understanding of logistics, purchasing and project document requirements.
- Strong interpersonal skills with the ability to build and maintain working relationships.
- Strong coordination skills with the ability to multitask, follow up and manage timelines.
- Ability to work on diverse projects and processes with conflicting deadlines.
- Working knowledge of Engineering and Vendor Documentation.
- Robust communication skills and attention to detail.
- Customer service, problem-solving and organizational skills are an asset.
Preferred Qualifications
- Knowledge of MS Windows, Outlook and Office Suite.
- Post-secondary education in a related field such as Project Management, Purchasing/Supply Chain Management, B-Com, Finance or Business Administration.
Working Conditions
- Office environment with occasional travel to suppliers and other company operation locations as required.
- This position is not remote.
- Standard schedule: 8 hours per day, 40 hours per week.
