Our company culture thrives on collaboration, creativity, and celebrating the travel industry through fun, engaging, and educational events across the country and abroad.Position OverviewWe are seeking an enthusiastic, experienced, and highly organized Internal Event Planner to plan, coordinate, and execute a wide range of company events — from local team meet‑ups and training workshops to national conferences and international retreats. This remote position is ideal for a self‑motivated professional who can work independently, think creatively, and deliver polished, well‑executed events that foster connection, learning, and community across our travel network.Key Responsibilities1) Event Planning & CoordinationPlan, coordinate, and manage a variety of in‑person and virtual events, including: “Social Connects” (bowling nights, paint parties, axe‑throwing, team dinners, etc.)Annual International Conference (flights, hotels, site inspections, workshops)Winter Bash Christmas Parties (held in Alberta and Ontario)Biannual Retreats (for top producers, management teams, and expert training workshops)“Learn How to Become a Certified Travel Agent” in‑person and virtual workshops across CanadaConsumer Trade Events such as the Romance Travel Show and Group Travel Expo2) Logistics ManagementSource, negotiate, and secure venues across Canada (hotels, boardrooms, meeting facilities, restaurants, and activity spaces)Coordinate A/V, food & beverage, room layouts,
and floor plansManage supplier contracts, insurance, and venue requirementsOversee setup, tear‑down, and smooth operation of all live eventsArrange travel and accommodations for speakers, staff, and guests when applicableOversee budgeting for events, ensuring all expenses are tracked and managed effectivelyUtilize strong time‑management skills to meet deadlines and manage multiple projects concurrentlyMaintain detailed records of event contracts, vendor agreements, and other essential documentation3) Sponsorship & Partner RelationsSecure co‑op sponsorship funding from travel partners, suppliers, and tourism boardsManage exhibitor/sponsor logistics for trade shows and supplier eventsMaintain positive, professional relationships with partners, vendors, and team members4) Marketing & RegistrationDevelop and manage online RSVP and registration forms (e.G., Google Forms, Eventbrite, and CRM tools like HubSpot)Monitor responses and maintain detailed event attendance recordsCoordinate event marketing materials—printed programs, signage, banner stands, décor, and branded collateralLiaise with the marketing team to promote events via email and social media5) On‑Site & Virtual Event ExecutionAct as the lead on‑site event manager to ensure seamless executionOversee registration desks, vendor setup, attendee coordination, and technical operationsProvide leadership and problem‑solving under pressure to ensure events run on time and exceed expectationsSupport occasional virtual event facilitation (Zoom, webinar platforms, etc.)Qualifications & SkillsMinimum 3–5 years of professional event planning experience,
