THE ROLE
Our client is seeking a highly organized and detail-oriented Case Coordinator, Investments (Investment Specialist) to join their growing team. In this role, you will be a key link between financial advisors and investment carriers, supporting the end-to-end administration and processing of mutual fund and segregated fund business.
You will be responsible for reviewing applications and documentation, processing investment transactions, resolving NIGO (Not In Good Order) issues, and providing responsive support to advisors and carrier partners. This is an excellent opportunity for someone with financial services experience who enjoys a fast-paced, detail-oriented environment and wants to build their career within wealth management and investment operations.
This is a hybrid position , with 2 days in the office and 3 days remote . The required in-office days are Wednesday and Thursday .
The team operates Monday to Friday from 8:30 AM to 4:30 PM . The hiring process is moving quickly, with the goal of filling the position as soon as possible.

RESPONSIBILITIES
Process mutual fund and segregated fund transactions, including new accounts, purchases, redemptions, switches, and transfers
Process registered and non-registered accounts, including RRSP, TFSA, and Non-Registered accounts
Review applications and documentation for completeness and accuracy
Identify and resolve NIGO (Not In Good Order) issues to prevent processing delays
Communicate with financial advisors regarding case status, documentation requirements, and processing updates
Liaise with investment fund companies, insurance carriers, and other external partners
Track transfers and outstanding cases and follow up on delayed or complex files
Maintain accurate client and account information within back-office systems
Ensure compliance and regulatory documentation is properly completed and maintained
Troubleshoot administrative issues and identify solutions for advisors
Maintain a high level of accuracy and organization while managing multiple cases and deadlines
REQUIREMENTS
1+ year of experience within the financial services industry ; entry-level candidates with relevant industry knowledge may also be considered
Experience with data entry and administrative processing within financial services, banking, insurance, investments, or wealth management
Robust understanding of financial services operations and documentation
Knowledge of mutual funds and/or segregated funds is strongly preferred
Strong attention to detail and accuracy when reviewing documentation and entering data
Excellent organizational and time-management skills
Strong communication and problem-solving abilities
Bilingual French and English is strongly preferred/ideally required
Experience with financial services back-office systems is an asset
Univeris, Dataphile, or Virtgate experience is an asset
IFIC or CSC certification is an asset but not required
