Position Summary

Under the guidance of the Executive Director, the Coordinator will manage the financial operations of the BIZ and administrative functions of the office.

Main Areas of Responsibilities & Related Tasks

Finances – 60%

· Perform all aspects involved in the organization’s full cycle book-keeping/accounting system; general ledger, accounts payable and receivable, bank and other accounts reconciliation, payroll, the accounting of all programs and initiatives and year-end preparations and including proper supporting documentation.

· Manage petty cash, replenishing as needed and reconciling monthly.

· Monitor budgets and cash flow to ensure adequate funds for expenses, or concerns.

· Provide accurate financial reports monthly or as requested.

· In partnership with the Executive Director, prepare annual budgets providing drafts and guidance as required.

· Provide support to auditors in the preparation of Annual Audited Financial Statements

· Oversee the preparation of the financials for the Annual General Meeting

· Ensure the financial filing requirements to the city are met.

· Provide information to staff on their program budgets as needed.

· Monitor all incoming and outgoing grants to ensure financial accuracy and that requirements are met.

· Implement internal controls as required

Administration & Office Operations – 20%

· Administer all aspects of the GWL Employee Benefits Program

· Administer all aspects of Workers Compensation.

· Administer all aspects of the payroll function and it’s file /records maintenance





· Ensure the annual office inventory for insurance coverage is completed and filed with the City.

· Oversee and maintain office functionality: internet, phones, security, maintenance of premises, filing system, office supplies and equipment including computers and server operation and back up and protection of electronic files.

· Supervise office assistant

· Other duties as may be requested by the Executive Director

HR, Program & Project Support - 20%

· Maintain employee files

· Update human resource forms, draft employee work agreements based on templates, update employee handbook as needed with assistance from Executive Director and other related tasks.

· Assist staff with creation, development and implementation of initiatives as required.

· Assist with special events as required.

Hours of Work / Salary & Benefits

Monday to Friday with office hours 9 am-430 pm (includes lunch break) 35 paid hours per week. Employer will consider flexible or reduced hours to accommodate the right candidate. Starting salary $45,000. The position includes a comprehensive benefit plan, RRSP contribution ($1750 annually), three weeks paid vacation and other benefits.

Qualifications/Requirements

· 2-3 years full cycle book-keeping experience including payroll processing

· Education in book-keeping/accounting/finance

· Excellent knowledge of Sage Accounting software

· Proficient in all aspects of Microsoft Office

· Experience with office functionality and management including, strong knowledge of computers and office equipment

· Organized, detail oriented, with excellent time management skills.

· Able to work independently and efficiently

· Analytical in nature, a problem solver and creative thinker

· Able to maintain high level of accuracy and confidentiality

· Clear and professional communication skills-verbal and written

· Pro-active spirit, team-oriented working style and customer service oriented

Start Date

As soon as possible to allow for overlap and training with current staff.

Pay: From $45,000.00 per year
