We are looking for a highly organized, detail-oriented Office Administrator to join our Abbotsford team and provide administrative and operational support to our mortgage brokers and dealing representatives.

About the Role

The Office Administrator will play an important role in keeping our mortgage and investment operations organized and running smoothly. This position is ideal for someone who enjoys working in a fast-paced professional environment, is comfortable handling confidential financial information, and has excellent attention to detail.

You will work closely with mortgage brokers, dealing representatives, clients, lawyers, and other industry professionals to help move transactions forward efficiently and ensure documentation and administrative requirements are completed accurately and on time.

Key Responsibilities

Mortgage & Deal Administration

- Provide day-to-day administrative support to mortgage brokers and dealing representatives
- Assist with the preparation, organization, and processing of mortgage documentation
- Collect, review, organize,



and follow up on documents required for mortgage files
- Maintain accurate client files using our in house database.
- Assist with renewals, payouts and foreclosures.
- Help with our social media and marketing strategy.
- Prepare and distribute correspondence, forms, statements, and other transaction documentation
- Answer phone calls, process the mail and courier packages, banking,

Compliance & Confidentiality

Because this position involves sensitive financial and personal information, the successful candidate must demonstrate a high level of professionalism, discretion, and attention to confidentiality.

The successful candidate will assist the team in maintaining accurate records and following established internal procedures and regulatory requirements relating to mortgage and investment transactions.

What We're Looking For

- Previous experience in mortgage, banking, financial services, lending, real estate, or a related field is an asset
- Strong administrative and organizational skills
- Excellent attention to detail and accuracy
- Ability to manage multiple files, priorities, and deadlines simultaneously
- Strong written and verbal communication skills
- Professional and friendly telephone and email manner
- Comfortable working with confidential and sensitive information
- Strong computer skills and proficiency with Microsoft Office, particularly Outlook, Word,



and Excel
- Ability to learn new software systems quickly
- Robust follow-up skills and the ability to stay on top of outstanding items
- Ability to work independently while also being a collaborative team member
- Professional, dependable, and positive attitude

Experience with any of the following would be considered an asset:

- Mortgage administration or mortgage brokering
- Private or alternative lending
- Commercial mortgages
- Investment administration
- Exempt market or dealing representative support
- Mortgage documentation and funding
- Working with lawyers, notaries, lenders, or financial institutions
- CRM, document management, or mortgage origination software
- Compliance or financial services administration

Mortgage industry experience is preferred, but we are willing to train the right candidate who has strong administrative skills and a willingness to learn.

Pay: $50,000.00-$55,000.00 per year
