Job Overview
Millward Family Law & Mediation is seeking a detail-oriented professional to undertake the following roles on a casual/part-time basis (with future opportunity to grow):
- File & Database Management: Organizing and maintaining physical and electronic legal files, tracking documents, and ensuring Law Society compliance
- Scheduling & Calendaring: Managing court and file deadlines, booking client consultations, scheduling court appearances and client/counsel meetings, updating lawyer's daily/monthly task lists
- Client Communication: Responding and tracking incoming inquiries, acting as the primary point of contact for clients for non-legal matters, gather basic background data, and provide status updates.
- Billing & Administrative Support: Tracking billable hours for lawyers, preparing client invoices, and managing general office administrative tasks.
The ideal candidate must possess strong organizational skills and demonstrate excellent communication skills to ensure high standards of client service and productive case progression.
Additional tasks include:
- Manage and organize legal files ensuring all documents are accurately filed and easily accessible
- Perform data entry tasks related to case details, client information,
and court deadlines to maintain up-to-date records
- Coordinate client meetings and gather relevant information
- Maintain professional phone etiquette when communicating with clients, courts, and other stakeholders
- Support project management efforts by tracking case deadlines, court dates, and follow-up actions to ensure timely completion of tasks
Requirements
- Proficiency with Adobe Pro and Microsoft Office (Word, Outlook email and Calendar)
- Strong organizational skills with the ability to prioritize multiple tasks efficiently
- Attention to detail for ensuring accuracy in filings and data entry and Law Society compliance
- Experience with clerical tasks including filing, data entry, phone handling, emailing, and maintaining client records
- Demonstrated ability to work independently, while communicating and collaborating effectively with others
- Knowledge of legal procedures related to family law cases is a plus but not mandatory
- Proven administrative experience within a legal setting, preferably in family law or related fields
Pay: $20.00-$25.00 per hour
Work Location: Hybrid remote in Thunder Bay, ON P7E 5H7
