Qualifications
MINIMUM FORMAL EDUCATION/TRAINING:
- Undergraduate degree, preferably in communications or in a related discipline, is required.
- Training in communications, stewardship, or public relations is an asset.
- Equivalent combination of education and experience may be considered.
EXPERIENCE:
- Minimum one year of directly related experience required, preferably in a non-profit or fundraising environment.
- Experience in event planning preferred.
SKILLS AND ABILITIES:
- Proficiency using advanced features of word processing software, Microsoft Excel, Raiser’s Edge (or equivalent fundraising software) required.
- Superior oral and written communication skills are required, including strong interview skills.
- Ability to learn new computer software quickly required.
- Must be highly organized and meticulous with detail.
- Must be able to work under timelines and pressure.
- Demonstrated experience working effectively in a team environment is required.
- A skilled demeanour and the ability to adapt to a demanding work environment required.
- Satisfactory work record, including satisfactory attendance and punctuality, is required.
Key responsibilities
Communications, Marketing & Stewardship
- Produces the Planned Giving unit’s print newsletter and e-newsletter:
- sets the content
- seeks out and interviews donors, students, deans, directors and admin staff
- writes, edits and approves articles
- seeks interviewees’ approvals
- delegates articles to other communications staff as necessary
- liaises with external production staff including designers, printers and emailing experts.
- Gathers material for the Planned Giving portion of the monthly External Relations e-newsletter.
- Maintains the Planned Giving website.
- Compiles and reviews all web activity.
- Alerts IT and Communications staff to broken links or other issues.
- Researches, writes and edits articles for posting.
- Compiles updated material related to PG marketing and gift vehicles and writes updated postings.
- Periodically audits the current website layout and research related external sites for ideas to improve the PG site.
- Monitors activity on the planned giving website and based on website activity trends, independently researches and develops marketing, communication and advertising plans for the Planned Giving website.
- Assists with the production of the annual Isbister Legacy Society luncheon which is attended by donors, the President, Chancellor, Vice-Presidents, Deans and senior administrative staff.
- Plans all Planned Giving donor recognition events and Planned Giving information sessions, courses and workshops.
- Occasionally provides guidance, advice and support to other staff who are planning donor events, or helps organize stewardship events such as area naming, plaque unveilings, etc.
- Consults the stewardship and marketing and communication teams to promote the Planned Giving program through internal advertising, marketing, publications and other Department of Development vehicles.
- Works with the annual Giving Manager to promote planned giving in internal advertising and external advertising, marketing and other donor relations vehicles.
- Creates and produces mass contacts with donors, including but not limited to:
- holiday greetings
- mid-winter greetings
- regular newsletters
- summer greetings
- post-ILS luncheon packages
- spring mailings
- Responsible for Isbister Legacy Society member stewardship including production, coordination of signing by the President and Chancellor, and mailing of certificates, letters and welcome kits, as well as other stewardship initiatives in consultation with the Director of Planned Giving.
- Liaises with donors, alumni and friends by phone, email and at university functions as appropriate.
- Produces advertisements for the Winnipeg Free Press Leave a Legacy insert, On Manitoba magazine, PG website, Canadian Book of Charities, Canadian Donor’s Guide, and other internal and external UM publications.
- Produces promotional materials such as informational brochures and pamphlets.
Administration & Records Management
- Independently produces and balances the weekly financial reporting sheets in Raiser’s Edge.
- Ensures that gifts are entered accurately in Raiser’s Edge. Requests corrections as necessary.
- Files gift intake forms with explanations for Gift Processing staff.
- Works with Advancement Services to design reports which accurately pull contact, financial and statistical information about Planned Giving donors.
- Arranges alumni and donor visits for the Planned Giving Director and Officer.
- Deals with high-level donors, alumni and professional advisors and uses discretion and diplomacy when requesting visits.
- Writes and reviews:
- Planned Giving thank you letters
- proposal letters
- letters of explanation
- acknowledgements of gifts
- letters seeking visits
- gift cultivation letters
- ILS welcome letters
- letters with detailed and/or personal gift histories
- descriptions of gift giving options
- memos regarding specifics of will clauses, gift designations and/or instructions.
- Orders travel and accommodation for Planned Giving staff and prepares travel-related expense claims.
- Routes legal documents through the appropriate channels as necessary. This involves working within tight legal deadlines.
- Orders, negotiates and approves purchases related to the Planned Giving Program up to $6,000,
seeking multiple quotes when necessary. Arranges payment for purchases.
- Requests data pulls as needed.
- Other duties as assigned by the senior Director of Planned Giving.
- Creates new and maintains current Planned Giving proposals on the Raiser’s Edge database as appropriate. Must ensure that all appeal codes, attributes and other relevant data are entered.
- Codes records so that donors’ recognition requests, requests for anonymity and other requests regarding their privacy will be met, while recognizing the highly confidential nature of the information and taking steps to protect donors’ privacy.
- Enters all interactions that they or the Planned Giving Director has with donors in Raiser’s Edge, including all phone calls, emails, letters, mailings, visits, interviews and other interactions.
- Collects all donor requests for changes to their records, including, but not limited to, anonymity, canvassing requests, recognition requests, etc. The position will make changes where necessary and delegate other changes to Advancement Services.
Fundraising
- Provides administrative and logistical support for the preparation, implementation and tracking of student giving fundraising initiatives.
- Assists, as needed, by gathering, analyzing and using data to prepare presentations, briefing materials and other information for meetings with students, donors and university stakeholders.
- Maintains, updates and uses data related to existing donor commitments, including relevant timelines, renewal dates and supporting documentation, to support program administration and follow-up activities.
- Uses program data to assist with administrative support such as meeting scheduling, document distribution, record keeping and other administrative activities related to student fundraising initiatives.
- Uses event, participant and fundraising data to assist with scheduling and coordinating student giving related meetings, events and fundraising activities.
- Provides administrative support for other fundraising initiatives and activities as assigned.
