The Fulfillment Services Specialist ensures that client-facing learning, facilitation, and assessment projects are organized, communicated, and delivered smoothly from workplan intake through session completion. The role creates clarity for clients, facilitators, coordinators, and internal teams by keeping project information current, preparing session materials accurately, coordinating pre-session requirements, and ensuring participants have what they need to engage successfully.
Core Responsibilities
- Client projects are ready to move forward once a workplan is received or a project channel is created.
- Internal stakeholders know where to find project information through consistent use of Slack, SharePoint, bookmarks, calendars, and project organization practices.
- Pre-session calls happen with the right people and the right information, especially around participant counts, assessment needs, deadlines, AV setup, accommodations, and travel details.
- Participants receive complete and professional session materials, including package basics, bios, surveys, marketing pages, and name tents.
- Assessment participants are properly set up and followed up with, including access code assignment, completion messaging, report handling, and resend support where required.
- Daily work remains organized and transparent, with clear priorities at the start of the day and explicit handoff notes at the end of the day.
Measures of Success
- Projects are visible in the correct internal calendars and collaboration spaces before delivery.
- Pre-session calls are arranged for projects unless otherwise stated, with timing prioritized well ahead of the session start date where possible.
- Facilitators/coordinators have the information they need about participants, assessments, room/AV setup, arrival timing, accommodations, and travel.
- Participant packages are prepared using the correct standard materials and relevant facilitator/coordinator resources.
- Assessment access and report processes are handled accurately using the documented tutorials and follow-up practices.
- Daily priorities, upcoming project needs, and end-of-day open items are documented clearly.
