Salary: $75,000–$90,000 per year, plus performance bonus
Schedule: Monday to Friday, with occasional evening, weekend and emergency-response requirements
Tang + Kung Real Estate Group is seeking an experienced and highly organized Portfolio Operations Manager to oversee the day-to-day operations of an assigned residential rental portfolio.
This is an ownership position, not simply an administrative or task-dispatching role. The successful candidate will be accountable for ensuring every property matter has a transparent owner, documented next action, deadline and confirmed resolution.
The Portfolio Operations Manager will coordinate maintenance, repairs, vendors, turnovers, move-ins, move-outs, landlord updates, tenant concerns and operational reporting. The role works closely with licensed property-management leadership, leasing, inspections, resident services and administration.

Key ResponsibilitiesPortfolio Operations
- Oversee the daily operations of an assigned residential rental portfolio
- Review and prioritize open maintenance, tenant, strata and property matters
- Ensure every matter has an assigned owner, next action and completion deadline
- Provide landlords with timely, factual updates and practical recommendations
- Monitor outstanding approvals, vendor commitments and follow-up requirements
- Maintain accurate records in the company’s ticketing and property-management systems
- Escalate material risks, delays and complaints before they become larger problems
- Confirm all required parties are updated before closing a matter
Maintenance and Vendor Coordination
- Review incoming maintenance requests and assess urgency
- Obtain initial diagnostic information for non-emergency requests
- Coordinate access between tenants, vendors and strata representatives
- Obtain quotations and landlord approval when required
- Dispatch qualified vendors and monitor attendance and completion
- Review invoices, reports, photographs and supporting documentation
- Follow up with tenants to confirm repairs have been completed
- Address incomplete or unsatisfactory vendor work
- Identify recurring property issues and recommend long-term solutions
- Work within company spending and owner-approval policies
Move-Ins, Move-Outs and Turnovers
- Oversee the operational readiness of upcoming move-ins and move-outs
- Work with the Field Leasing and Inspections Coordinator on scheduling, inspections, keys and strata requirements
- Review move-out inspection findings and identify required cleaning, repairs or further investigation
- Prepare turnover action plans with clear owners and deadlines
- Coordinate contractors to ensure properties are ready for incoming tenants
- Identify and escalate damage or security-deposit concerns
- Confirm move-in readiness at least 48 hours before key handover
- Prevent avoidable last-minute move-in or turnover failures
Landlord and Tenant Communication
- Provide professional, clear and caring communication
- Present landlords with facts, available options, estimated costs, risks and recommended next steps
- Ensure tenants receive acknowledgement and regular progress updates
- Communicate early when a commitment or deadline may not be met
- Support service recovery when a landlord or tenant has experienced a delay
- Manage difficult conversations professionally
- Maintain appropriate confidentiality and professional boundaries
Compliance and Risk Management
- Work within the B.C. Residential Tenancy Act, brokerage policies and licensing requirements
- Recognize matters requiring review by a licensed rental property manager
- Support the preparation and documentation of notices and dispute files
- Track important dates, deadlines and supporting evidence
- Escalate emergencies, safety concerns, potential insurance claims and tenancy risks immediately
- Ensure important instructions and decisions are confirmed in writing
- Protect confidential landlord, tenant and company information
Team and Process Leadership
- Lead a brief daily review of operational priorities
- Delegate assignments clearly and confirm responsibility in writing
- Coordinate effectively with leasing, inspection, resident-service and administrative team members
- Provide management with a concise weekly portfolio exception report
- Identify workflow problems and recommend improvements
- Help develop and maintain SOPs, checklists and service standards
- Support consistent use of the company’s ticketing and property-management systems
- Coach coordinators on documentation, communication and follow-through
Qualifications
- Minimum three years of residential property management, portfolio operations or closely related experience
- BCFSA Rental Property Management licence strongly preferred
- Candidates actively completing the rental property management licensing process may be considered
- Working knowledge of the B.C. Residential Tenancy Act
- Demonstrated experience managing maintenance, vendors and property turnovers
- Strong written and verbal communication skills
- Ability to manage multiple deadlines and competing priorities
- Strong problem-solving,
organization and documentation skills
- Ability to make sound recommendations and escalate risks appropriately
- Comfortable using property-management, inspection, CRM or ticketing systems
- Valid B.C. driver’s licence
- Reliable access to a vehicle
- Ability to travel to properties throughout Greater Vancouver
- Ability to participate in a scheduled emergency-response or on-call rotation
Preferred Qualifications
- Experience managing individually owned residential rental properties
- Experience working within a licensed real estate brokerage
- Experience with move-in, move-out and periodic inspections
- Experience coordinating insurance claims, strata matters or tenancy disputes
- Familiarity with Zammad, SnapInspect, RentCafe or similar systems
- Commercial property management exposure is an asset
- Cantonese or Mandarin language skills are an asset but not required

- Reduction of unresolved matters older than 7 and 14 days

- Ability to close the loop without repeated management reminders
Compensation and Benefits
- Base salary of $75,000–$90,000, based on experience and licensing
- Quarterly performance bonus
- Annual target bonus of up to 10% of base salary
