Human Resources and Safety Administrator

The Administrator is responsible for providing comprehensive administrative and operational support to the Human Resources and Safety department, ensuring compliance with organizational policies and applicable legislation. Working under the direction of the Human Resources and Safety, Supervisor, this position serves as a key resource for employees, retirees, and management, providing confidential guidance on Human Resources and Safety related matters while maintaining meticulous records and supporting the department's day-to-day operations. The role combines administration fundamentals, benefits processing, employee data management, and general administrative support to ensure organizational efficiency and employee satisfaction.
Duties include:
- Coordinate employee onboarding and offboarding, including documentation and supervisor follow-up.
- Respond to employee and management inquiries with accuracy, professionalism, and discretion.
- Train employees on self-service applications and HR-related systems.
- Support recruitment through job postings, application tracking, and interview scheduling.
- Maintain HR, safety, project, insurance, and compliance documentation.
- Administer internal and external audit requirements and track corrective actions.
- Monitor legislative changes and recommend updates to policies and procedures.
- Manage the policy system and ensure information remains accurate and current.
- Prepare departmental reports, surveys, and workforce metrics.
- Support WSIB claims and early and safe return-to-work programs.
- Administer contractor health and safety requirements and compliance verification.
- Coordinate CVOR, driver abstract, vehicle inspection, and vehicle safety processes.
- Conduct facility inspections and maintain related records.
- Document crew visits, site assessments, hazards, and follow-up actions.
- Support Joint Health and Safety and Wellness Committee activities.
- Prepare HR and safety communications for employees, retirees, and management.
- Manage the Summer Student program and employee engagement initiatives.
- Submit HR-related remittances and supporting documentation to Finance.
- Process and issue annual T4A slips for retirees.
- Identify opportunities to improve efficiency, compliance, and employee experience.
- Maintain current knowledge of HR and occupational health and safety practices.
- Safeguard confidential employee and organizational information.
- Provide backup administrative support to supervisors and management.
- Perform other related duties as assigned
Qualifications:
· Community College Diploma from an accredited educational institution in Office Administration, Health and Safety, Business Administration, or a related field
· Minimum of one year’s work experience in human resources administration, health and safety coordination or related field
· Experience in union or regulated industry environments preferred
· Advanced understanding of occupational health and safety legislation, including Ontario Labour Relations Code, Employment Standards Act, Occupational Health & Safety Act, and all applicable legislation
· Solid knowledge of return-to-work programs and best practices for early and safe reintegration of injured workers
· Familiarity with employee perks and pension administration programs and processes.
· Knowledge of workplace inspections, audits, hazard identification,
and incident investigation best practices.
· Strong understanding of payroll, benefits, and HR systems and platforms.
· Proficiency with Microsoft Office Suite and HRIS/payroll systems (ADP or similar platforms).
· Expert-level proficiency in record-keeping, reporting, documentation, and policy management.
· Valid Class ‘G’ drivers license is required
Annual Salary: $55,000 – $70,000 (for qualified candidates).
